Customer Care Administrator
We are currently looking for a Customer Care Administrator to join our team in Caterham. You will be a highly organised and proactive Customer Care Administrator with the ability to provide comprehensive administrative support to our Customer Care team. This is a pivotal role within the department and you will ensure that processes run smoothly, customer and internal communications are handled efficiently, and compliance obligations are met.
What you’ll be doing
- Providing day‑to‑day administrative support to the Head of Customer Care (including diary management, welcoming visitors, etc.) and all members of the Customer Care team, monitoring and maintaining holiday approvals and absence records for the department.
- Assisting with the provision and follow‑up of outstanding customer issues, liaising with site teams, contractors, and customers to ensure timely resolution.
- Processing, managing, and securely storing correspondence and archiving of data, in line with departmental procedures.
- Maintaining departmental Health & Safety files, circulating relevant bulletins, and keeping registers of equipment and certifications up to date.
- Distributing new customer information to Customer Care Coordinators upon legal completion and issuing welcome communications to customers.
- Supporting the reporting of HBF statistics and coordinating out‑of‑hours emergency cover information.
- Preparing and maintaining Excel spreadsheets relating to departmental expenditure and performance data.
- Collating documentation and data in response to Subject Access Requests.
- Issuing follow‑up communications to customers in line with NHQC requirements, including confirmations of completed works to Housing Associations.
Skills & knowledge you’ll bring
- Proven experience (1–2 years) as an administrator or in a similar role.
- Excellent written and verbal communication skills and ability to liaise with internal and external customers/clients at all levels.
- Highly organised.
- Able to use Microsoft packages and familiarity using Word and Excel.
- Good word‑processing skills and ability to type efficiently.
- Excellent attention to detail and good problem‑solving skills.
- Ability to influence and build strong relationships across all levels of the organisation.
- Proven ability to manage multiple priorities in a fast‑paced environment.
