Overview

Bangor University’s Student Experience team is seeking a motivated individual to provide general administrative support for student engagement activities and services. The role is full‑time, permanent, based on campus with the option to work remotely within the UK. It offers the possibility of part‑time or job share arrangements and requires the ability to speak Welsh confidently.

Main Duties and Responsibilities

  • Assist with preparing and sending student communications using agreed formats.
  • Update student‑facing webpages by passing information to relevant staff.
  • Help organise events by preparing materials, managing attendance lists, and assisting on the day.
  • Attend student events to support delivery of the student experience programme.
  • Provide administrative support for student internships (recording applications, updating spreadsheets).
  • Assist with student surveys by distributing information and tracking responses.
  • Prepare simple summaries of information (basic figures or lists) as requested.
  • Undertake any other duties appropriate to the grade as required.

Core Responsibilities

  • Carry out routine administrative tasks such as filing, data entry, and document preparation.
  • Arrange meetings and events (booking rooms, preparing materials).
  • Respond to enquiries and direct students, staff or visitors to the appropriate service.
  • Prepare standard communications such as emails, notices or social media using templates.
  • Input and update information on university systems accurately; maintain records and filing systems.
  • Check data for errors and report issues to the Manager.
  • Handle confidential information in line with university procedures.
  • Resolve straightforward queries using guidance and standard procedures; escalates complex issues to senior colleagues.
  • Support colleagues as part of a team, especially during busy periods, and assist with university events such as open days and graduation.
  • Communicate clearly and politely with students, staff and visitors; relay messages to relevant team members.
  • Attend training sessions and team meetings as required.

Person Specification

Qualifications / Training

  • Minimum of 4 GCSEs at grades A* – D (including English and Maths) or NVQ Level 1 in a relevant subject area.
  • NVQ Level 2 in a relevant subject area (desirable).
  • Basic IT qualification (desirable).
  • Customer service or administration training (desirable).

Experience / Knowledge

  • Experience of working in an administrative or customer service environment (including voluntary or part‑time work).
  • Basic knowledge of Microsoft Office (Word, Excel, Outlook).
  • Experience of dealing with enquiries.
  • Experience of supporting events or administrative processes (desirable).
  • Experience of working with confidential information (desirable).

Skills / Abilities

  • Good organisational skills with the ability to follow instructions.
  • Clear written and verbal communication skills.
  • Ability to work as part of a team.
  • Attention to detail when completing routine tasks.
  • Ability to follow procedures and ask for guidance when needed.
  • Basic ability to work with simple data or lists (desirable).
  • Full driving licence to drive University vehicles to transport equipment during events (desirable).

Other

  • The ability to speak Welsh confidently to carry out certain tasks is essential; this includes speaking to staff and students, answering phone calls, and dealing with urgent enquiries in Welsh.
  • Willingness to work evenings and weekends as required.
