Key responsibilities
- Provide proactive administrative support to two senior Executive Assistants across London and Paris.
- Manage calendars, meeting coordination and complex international travel arrangements.
- Support office and facilities management including meeting rooms, visitors and office supplies.
- Process invoices, payments and expense reconciliation in line with compliance procedures.
- Manage shared mailboxes ensuring timely follow‑up across teams.
- Coordinate couriers, post and shipments between international offices.
- Prepare meeting agendas and take accurate meeting minutes.
- Support day‑to‑day operational and administrative tasks across multiple business lines.
- Assist with payroll funding administration and financial tracking activities.
- Maintain excellent communication with senior stakeholders and wider teams across geographies.
Qualifications
- Previous experience within an Administrative/Office Assistant or Reception position in financial or professional services.
- Exceptional organisational skills with the ability to manage multiple priorities.
- Advanced Microsoft Office skills including Outlook, Word, Excel and PowerPoint.
- Excellent communication and interpersonal skills.
- A proactive, flexible and team‑oriented approach.
- Strong attention to detail and ability to work effectively under pressure.
- Financial services or financial markets experience would be advantageous.
- Fluent English required; French language skills would be beneficial but are not essential.
