Administrator – Intermediate Care Team

We are currently looking to recruit an enthusiastic and motivated administrator to support the delivery of Intermediate Care Services within the community across our countywide team at Chesterton Medical Centre.

The post holder will be the first point of contact for calls coming into the service and will strive to ensure the provision of a professional and competent service, delivering excellent customer care to patients, families, and colleagues. This role is varied, challenging, and rewarding and offers a stepping stone to progression within the trust.

Main duties of the job

  • The post holder will provide a comprehensive administrative service within their team.
  • Word processing of all forms of correspondence, reports and summaries that are required by the team.
  • The post holder will need to be calm and patient, with an excellent telephone manner and skills to deal with sometimes complex and difficult issues over the phone.
  • Inputting and updating service user information and service user/team activity on computerised information systems, creating service user notes where necessary and according to policy.
  • Maintain filing in both paper and electronic records, ensuring that it is kept up to date at all times. In accordance with Trust procedures, track and receive notes in a timely manner.
  • Ensure good customer service by providing a professional and effective telephone service, taking accurate messages and providing information and signposting as requested and appropriate. Deal with difficult callers in a calm and effective manner.
  • Undertake training of new staff as directed by Line Manager and/or other manager.

  • To ensure that all duties are carried out to the highest standard and in accordance with currently quality initiatives within the work area.

  • To comply at all times with the Trust’s Information Governance related policies. Staff are required to respect the confidentiality of information about staff, patients and Trust business and in particular the confidentiality and security of personal identifiable information in line with the Data Protection Act.

Person Specification

Educational / Qualifications

  • Educated to GCE/GCSE standard.
  • NVQ Level 2 in Administration or equivalent.
  • Good command of written English.

Experience

  • Experience of working in a busy and demanding office/customer facing environment.
  • Experience of planning and organising own workload and of staff within own span of control.
  • Ability to type up accurate interpretations of minutes.
  • Previous experience of working in an NHS office environment.
  • Experience of supporting a multi-disciplinary team.

Skills and Abilities

  • Excellent customer care skills.
  • Excellent standard of typing/audio skills using word processor (50wpm).
  • Good organisational skills.
  • Ability to work under occasional pressure/stress.
  • Ability to work on own initiative.
  • Excellent telephone manner.
  • Knowledge of Data Protection Act.
  • SystmOne.
  • Understanding of confidentiality and the importance of maintaining confidentiality for patients.
