Job Description:

Job Description The role will provide critical administrative, clerical, and operational support to Project Managers and project teams, ensuring projects run to schedule and within budget. The position will be primarily focused on the Critical Security Infrastructure (CSI) Project, with additional support to business-as-usual activities as required. Key Responsibilities Manage and maintain project documentation, including plans, reports, and relevant contractual records. Schedule meetings, coordinate diaries, take accurate minutes, and manage team calendars. Support budget and resource monitoring, including cost tracking and expense processing. Administer Purchase Orders and support financial controls related to project delivery. Act as a central communication point between internal teams, external stakeholders, and suppliers. Track project progress and support reporting requirements. Ensure project activities comply with agreed standards, processes, and methodologies. Provide general administrative and operational support to Project Managers and project teams. Professional and Personal Competencies/Qualifications Experience in administration or a similar role. Strong understanding of project lifecycles, risk management, and documentation. High proficiency in Microsoft Office Suite (particularly Excel), Maximo, Tririga, and project management software (e.g. MS Project). Excellent verbal and written communication skills, with the ability to engage stakeholders at all levels. Strong organisational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment. Demonstrable commitment to embedding a safety-first culture. Flexibility to travel and attend sites as required to support Project Managers and project meetings.
