Description
As a Buying Assistant, you will play a vital role in supporting the buying team by ensuring the smooth and efficient management of critical path deadlines and key administrative tasks. You’ll help maintain an organised workflow from start to finish, and ensure all documentation is up-to-date and accurate. Your role will involve coordinating approvals and preparing presentations. With your attention to detail, organisational skills, and ability to communicate effectively, you’ll help keep the team on track, enabling them to deliver high-quality product ranges on time.
Key Responsibilities
- CRITICAL PATH
- Critical Path: understand the critical path, set up and update documents accurately, liaise with suppliers for timely information, and lead weekly critical path meetings to ensure deadlines are met.
- Approvals: manage collection and filing of approvals, update the critical path with approval statuses on time, and review old folders for disposal.
- PPs: prepare and update the PP presentation, verifying style, shipping, and quantity information before the Buyer’s review.
- Fits: maintain an up‑to‑date FIT log and ensure fit details are recorded and followed up after garment tech reviews.
- Sign‑Offs & Range Reviews: ensure all required samples are prepared, labelled, and ready for meetings.
- Parcels and Post: manage parcel collection, logging, and distribution efficiently, flagging approvals‑related deliveries.
- Branding Guidelines: understand the Swinger Tier system, RFID and barcode stickers, FTP usage, and packaging requirements, ensuring correct application.
- RANGE BUILDING
- Competitors, Customer & Demographic: understand core competitors and product markets across regions to support commercial decisions.
- End Use & Seasonality: grasp product end use and confirm appropriate packaging; flag discrepancies to the AB/Buyer.
- ANALYSIS & TRADING
- Pricing: conduct competitive shopping and benchmark pricing to keep products competitive.
- Photography / Web: manage intake sheets, coordinate studio shoots, review web tracker, and provide required information.
- System Skills: proficiency in Office 365 (Outlook, Excel, PowerPoint, Word, Teams), manage email flow, conduct meetings, and use Excel formulas. Familiarity with buying systems (BB), dashboard reports, and range planning.
