We are seeking a motivated and dependable individual to join the Medical Division as an Administration Manager on a full-time, 6-month secondment.

This role sits within a busy and evolving Division where you will play a key part in supporting operational delivery and administrative performance.

Strong interpersonal, communication and organisational skills are essential. The role involves regular engagement with colleagues across all levels, including senior leaders and clinicians, and requires the confidence to build effective working relationships.

The successful candidate will be comfortable managing multiple priorities, maintaining oversight of competing demands, and ensuring the needs of Administration Teams are consistently met. An ability to influence and advocate for administrative processes and improvements will also be important.

Main duties of the job

  • Management of Administrative Teams as allocated.
  • Responsibility for the delivery of specific key performance indicators (KPIs).
  • Work in conjunction with the Deputy General Manager and other Service Units and relevant staff within Trust, and external agencies, to ensure the optimum administrative flow of patients through outpatient and inpatient services.
  • Support the Deputy General Manager in the delivery of Service Unit business objectives, taking personal responsibility for designated tasks.
  • Provide an administrative and note‑taking service for meetings within the Division, including preparation of agendas, circulation of documents prior to meetings, minute taking, and chasing actions as allocated/requested.

Person Specification

Education and Qualifications

  • Educated to degree level or equivalent, or relevant experience.
  • 5× GCSEs C grade or equivalent, including English and Mathematics.

Skills, Knowledge and Abilities

  • Experience managing own workload and meeting tight deadlines.
  • Proven ability to work under pressure and deal with difficult or stressful situations.
  • Knowledge of booking processes for both inpatient and outpatient episodes.
  • Highly developed knowledge of Microsoft Office applications.
  • Ability to effectively communicate both verbally and in writing to a wide range of people.
  • Minute‑taking and report‑producing skills.

Experience

  • Previous experience of office management.
  • Experience taking and transcribing minutes.
  • Experience dealing with confidential or sensitive issues.
  • Experience working in an NHS Trust environment and interacting with consultants, clinicians and senior managers.
