About the role

We are seeking a compassionate, confident and highly organised Patient Care Coordinator to join our expanding Private Mental Health Assessment Service, supporting ADHD pathways. This pivotal role delivers a seamless, gold‑standard experience from initial enquiry through to assessment, treatment and ongoing after‑care. As the first point of contact for patients, clinicians, GPs and internal teams, you will act as a trusted coordinator, ensuring accuracy, efficiency and excellence across the entire pathway.

Key responsibilities

  • Manage referrals via e‑RS and email, ensuring complete and accurate onboarding.
  • Guide patients through the pathway, clearly explaining timelines, next steps and expectations.
  • Coordinate triage calls, diagnostic assessments and follow‑up appointments.
  • Provide technical and administrative support during virtual consultations.
  • Process, quality‑check and distribute clinical reports using EMIS and Hero Health.
  • Support titration scheduling and liaise with GPs where required.
  • Respond to patient queries promptly, delivering clear and compassionate communication.
  • Proactively monitor patient journeys to prevent delays and maintain service standards.

What you’ll need

Essential

  • Experience within a healthcare, private medical or service‑led administrative role.
  • Exceptional communication skills with a calm, reassuring manner.
  • Strong organisational skills, able to manage multiple patients and priorities.
  • High attention to detail, particularly when handling sensitive patient information.
  • Confidence using clinical systems and IT platforms.
  • Professional resilience and the ability to manage emotionally sensitive conversations.

Desirable

  • Experience within Mental Health, ADHD or Autism services.
  • Previous experience working in a Private Healthcare setting.
  • Familiarity with EMIS Web, Hero Health or similar clinical systems.
  • Understanding of GDPR and Caldicott Principles.
  • Experience supporting virtual consultations and/or AI transcription tools.
