We are seeking an experienced and motivated Operations /Project Manager tojoin our leadership team within a busy, forward-thinking multi-site GPpractice. This is a key role supporting the Practice Manager and Partnersin the day-to-day operational management of the practice while taking a leadrole in delivering short-term and strategic projects that support practicegrowth and service development.

The successful candidate will work across allpractice sites, ensuring consistency, quality, and efficiency, and will play apivotal role in projects such as practice boundary expansion, setting up newor additional branch surgeries, and implementing additional clinical services.

Main duties of the job

KeyResponsibilities

  • Support the Senior Leadership Team in the operational management ofa multi-site GP Partnership.
  • Lead and deliver defined short-term projects, including serviceexpansion and new site development
  • Coordinate and support administrative and non-clinical teams acrossmultiple locations
  • Ensure consistent systems, processes, and patient experience acrossall sites
  • Work closely with GP Partners, clinicians, PCN colleagues, andexternal stakeholders
  • Support financial planning, contract delivery, and businessdevelopment
  • Contribute to governance, compliance, and quality improvementactivity

Job responsibilities

This pivotal role encompassesIT, building and data management, as well as Information Governance duties andline management of the Administration Team.

IT Management:As the practice IT lead, it is the Operations Managers responsibility toensure the smooth running of the practice from a technical perspective. Thisincludes general IT fixes, liaison with commissioning support units andfacilitating rapid adjustments in response to unforeseen change.As well as this the OM is the current mainsmartcard sponsor.

Building Management:The buildings side of the role involves planning and installation assistance ofbuilding projects, as well as organisation and maintenance of systems forcompliance with statutory regulations from a Contractual, CQC and InfectionControl Perspective.

Data Management:The OM is the practice lead for data analysis and reporting. Part of this roleis responsibility for claims management and leading on the technical side of theintroduction of new Locally Commissioned Services.

Part of this project deliveryis the design and introduction of clinical templates to match the clinical andcontractual needs of the LCS, as well as the data gathering required to satisfythe service specification.The OM will where required, design and introducedigitisation initiatives for the purpose of saving clinical time.

The reporting aspect of therole covers invitations for medical appointments, auditing for patient safetyand medication alerts as well as forward planning for projects or contractualcompliance.InformationGovernance:The OM is the main administrator for the Practice’s Data Security andProtection Toolkit, maintaining both the Asset Register and Data Flow Map onbehalf of the practice. The OM also constructs Data Protection ImpactAssessments for the practice as and when required.

Finance:The OM maintains the ‘Practice Incomes’ database, which links LCS claims andGMS activity on a monthly basis to their associated remittances, providingcontext and assistance to the Practice bookkeeper and accountants.

Administration Management:

Line Manager for the Administration teamAs Operations Manager oversee thepractice’s back-office administration functions, including secretarial, bookkeeping, registration and scanning administration.

This role includes someelements of HR guided by the HR Manager.

The Operations Manager will assist in aspectsof facilitating meetings from an IT aspect.In this role The OM also deputises for thePractice’s Patient Services and Practice Managers in periods of absence, withwhom The OM shares duty management of the Practice sites. These are currentlyin Crawley with the Partridge Green site coming on board in 2026.

Experience

  • Experience in GP practice or primary care management
  • Strong organisational and leadership skills
  • Proven ability to manage short-term projects and competing priorities
  • Excellent communication and stakeholder engagement skills
  • Understanding of NHS primary care structures, regulations, and governance
  • Experience working in a multi-site practice
  • Involvement in practice expansion, new branch setup, or service development
  • Experience working with PCNs or ICBs
  • Have your own vehicle and a current clean driving licence.
