Senior Medical Secretary – Modality LLP Private Services

Modality LLP is alarge-scale provider of NHS and private Outpatient Services, renowned for its innovative approach to delivering efficient pathways for patients requiring specialist care, leading to high-quality patient outcomes. We work in partnership with a number of hospitals across the country to collaboratively redesign outpatient services with more care being delivered in community settings. We also deliver private care for patients with private medical insurance and for self-pay patients.

We are seeking a motivated and high-performing full-time Senior Medical Secretary (Private Services) to provide all aspects of secretarial and administrative duties to a group of consultants and the wider clinical team for self-pay and insured patients/clients. The postholder will oversee delivery of the administrative function that underpins our private services.

Main duties of the job

The Senior Medical Secretary will lead and coordinate the day-to-day administrative function of Modality Private Services, ensuring that all patient pathway coordination, booking and administrative processes operate efficiently and to a high standard.

The post holder will manage a team of Patient Pathway Coordinators, providing leadership, oversight and support to ensure that the administrative team delivers an excellent experience for self-pay and insured patients and clients.

The Senior Medical Secretary will act as the first point of contact for resolving queries from B2B partners and external agencies, and will work closely with operational, clinical and support teams to remove barriers and drive continuous improvement across the administrative function.

Person Specification

Knowledge

  • Knowledge of administrative procedures within a private healthcare environment
  • Knowledge of software programmes including Microsoft Office Word, Excel, Outlook and other relative software product
  • Understanding of how clinical services work and the importance of inter-links between the duties commensurate with this role
  • Knowledge/previous experience of clinical systems e.g. Semble, IRIS, Apollo Radiology portal
  • Knowledge of data protection and confidentiality regulations within healthcare
  • Experience of line managing or supervising a team in a healthcare or customer-facing environment
  • Formal customer service or management training

Skills

  • Strong organisational skills with exceptional attention to detail and the ability to multitask effectively
  • To be able to write clear, concise messages often involving complex medical terminology
  • To understand a range of Protocols and Policies and implement them in everyday work
  • Excellent standard of written communication
  • To comprehend complex instructions or documents containing medical terminology
  • To be able to communicate with all levels of personnel, including medical professionals, patient/clients and outside agencies
  • To be able to relay clear, concise messages containing medical terminology without risk of misunderstanding
  • Ability to work well under pressure, prioritise tasks, and meet deadlines
  • Self-motivated and ability to work without supervision when required

Qualifications

  • GCE/GCSE subjects to include English Language
  • NVQ 3 Business Administration, Team Leadership or Customer Care or equivalent experience
  • Word Processing/RSA II
  • 1 year part qualification RSA Part I

Experience

  • Previous experience in a senior administrative or team leader role within a healthcare setting
  • Experience of coordinating administrative workloads and managing performance across a team

  • Ability to work as part of a team
  • Ability to manage own workload and work on their own initiative, taking appropriate action as necessary in the absence of the line manager

30,000 to £35,000 a year salary offered is WTE
