My client is an established property company that offer a wide range of services to their client base in Surrey, London and Kent. They are now looking to add an experienced Property Manager to look after a portfolio of 100 rental properties. Role Responsibilities
- Day to day maintenance issues
- Inform LL of the issue reported
- Arrange for contractor to attend
- Update TT and confirm access arrangements
- Raise works order
- Update TT and LL
- Update Vebra
- Arrange and obtain quotations where necessary and send them on to LL/s for approval
- Oversee large maintenance works
- Check Terms and Condition if a Supervisory fee can be charged
- Request monies for works and fee in advance of works commencing
- Ensure works are running on schedule
- Keep LL/s updated of progress
- Update Vebra
- Visit property to take photos of the completed works
- Send photos to the LL/s for their information
- Check TT/s is happy with the works
- Update Vebra
- Property visits
- Contact TT to arrange visit
- Compile report manually using word and insert photos taken
- Save report as PDF in property file on computer
- Send the report to LL/s
- Update Vebra
- Deposit releases (fully managed only)
- Liaise between TT/s and LL/s until agreement has been reached
- Check TT account is up-to-date with no monies owing
- Obtain quotes where necessary
- Print and file in property file the confirmation from both parties
- Archive file

- Deposit releases (Tenant Find and Rent Collect)
- Obtain confirmation of the deposit release from both parties (TT/s and LL/s)
- File confirmation from both parties in property file
- Archive file

- Raise dispute with TDS if deposit release is not agreed between LL/s and TT/s (fully managed only)
- Complete the online form and information requested for the Adjudicator
- Upload all relevant information relating to the deposit release including copy emails from LL/s and TT/s, signed AST, inventory and check out reports, quotes and invoices where necessary
- Check and submit dispute Update LL/s and TT/s
- Update Vebra and file
- Arrange gas safety certificates:
- Inform LL/s GSC is due and arranging
- Instruct Gas Safe engineer to attend and arrange appointment and access with TT/s
- Update Vebra
- Record gas safety certificate when received:
- Send copy of GSC to TT/s and LL/s
- File GSC in property file
- Update and upload to Vebra
- Arrange boiler servicing when required
- Inform LL/s service is due
- Instruct Gas Safe engineer to attend and arrange appointment and access with TT/s
- Update Vebra
- Attend properties to allow access for British Gas engineers if a TT is not available in order for the gas safety and/or boiler service to take place
- Arrange Energy Performance Certificates:
- Inform LL/s EPC is due and arranging
- Instruct contractor and arrange appointment and access with the TT/s
- Update Vebra
- Record Energy Performance Certificate when received:
- Send copy of EPC to TT/s and LL/s
- File EPC in property file
- Update and upload to Vebra
- Notice received from TT/s
- Update/inform LL
- Email Lettings to advise regarding re-letting

- Move file from active tenancies to check out drawer
- Arrange check out appointments
- Arrange appointment with inventory company
- Confirm check out arrangements and procedure to TT/s
