Overview

This role involves a wide range of personal secretarial duties in support of the management team, with opportunity for additional responsibilities. The post holder will work closely with the management team, be recognised as an important member of the team and operate under minimal supervision. A positive, upbeat, hard‑working and motivated individual who can thrive in a demanding, fast‑paced environment is ideal.

Responsibilities

  • Diary management
  • Arrange meetings and take minutes
  • Produce reports, presentations and other correspondence
  • Support Microsoft Teams meetings
  • Develop data storage systems
  • Assist with queries from the Dental Hospital Management corridor
  • Support Dental Core Trainee Rotation, HR processes, register new staff on Trust systems, and liaise with the University of Liverpool

Essential Criteria

  • GCSE/O Level or equivalent education
  • RSA/OCR Typing/Word processing Level 1 or equivalent
  • RSA/OCR A
  • Secretarial qualification or equivalent experience
  • Excellent IT skills and knowledge of all Microsoft Office packages
  • Experience working in an NHS office environment as a secretary
  • Excellent communication skills at all levels
  • Excellent organisational skills
  • Excellent word processing and keyboard skills
  • Ability to organise workload effectively and prioritise to meet deadlines
  • Ability to work individually or as part of a team
  • Legible handwriting
  • Time management skills
  • Excellent interpersonal and influencing skills
  • Ability to maintain control of stressful and sensitive situations
  • Compliance with Trust policies and procedures
  • Understanding and appreciation of confidentiality requirements (Data Protection Act)

Desirable Criteria

  • Knowledge of medical terminology
  • ECDL qualification
  • Shorthand skills
  • Knowledge of the internal PAS system
  • Understanding of Trust internal policies
  • Capability to adapt to most situations
  • Willingness to learn and to undergo further training
