Job Description:

An exciting opportunity has arisen for an experienced and highly organised Personal Assistant to support three Partners within a leading Corporate Finance firm based in prestigious offices in the West End, London.

This is a fast-paced and varied role requiring exceptional organisational skills, strong attention to detail, and the ability to manage multiple priorities whilst maintaining complete confidentiality.

Key Responsibilities

  • Providing comprehensive diary management for three Partners, coordinating complex schedules and meetings.
  • Organising and preparing for board meetings, including agenda preparation, meeting packs, and minute-taking where required.
  • Managing extensive travel arrangements, including international itineraries, accommodation, and logistics.
  • Screening calls, emails, and correspondence, ensuring timely responses and follow-up actions.
  • Liaising with clients, investors, advisers, and senior stakeholders in a professional and confident manner.
  • Processing invoices and expenses accurately and efficiently.
  • Maintaining and updating CRM databases and contact management systems.
  • Assisting with the preparation of presentations, reports, and corporate documentation.
  • Coordinating internal and external events, meetings, and client functions.
  • Providing general administrative support to ensure the smooth running of the Partners’ day-to-day activities.

Skills & Experience Required

  • Significant experience as a Personal Assistant or Executive Assistant, ideally within Corporate Finance, Private Equity, Investment Banking, Professional Services, or a similar fast-paced environment.
  • Proven experience supporting multiple senior executives simultaneously.
  • Excellent diary management and organisational skills.
  • Strong proficiency in Microsoft Office Suite, particularly Outlook, Word, PowerPoint, and Excel.
  • Experience using CRM systems and managing databases.
  • Exceptional written and verbal communication skills.
  • Professional, discreet, and able to handle confidential information with integrity.
  • Highly proactive with a flexible, can-do approach.
