Administrative Assistant – Mindplace

Location: Mindplace Dartford, Cotton Lake House, Crossways Business Park, Dartford, DA2 6QH

Employment: Permanent, full time, 40 hours – Monday to Friday 8am‑10pm, Saturday 9am‑5pm

Salary: £26,800 per annum plus benefits.

Responsibilities

  • Greeting and welcoming customers, supporting the customer journey throughout the centre.
  • Answer, screen and forward incoming customer queries via phone and manage local mailbox and emails.
  • Maintain a well‑presented reception and waiting areas.
  • Ensure customer reports are dispatched from centres within the desired time frame, including management of abnormal results.
  • Verify and manage correct paperwork for customers – appointment packs, clinical file preparation and consent forms.
  • Perform effective results management – receiving, scanning, uploading and following up with suppliers to meet agreed SLAs.
  • Update customer details, appointments and reschedule in EXACT/BOSS/Meddbase; process payments, invoices, added charges and credit notes on departure.
  • Organise documents to achieve quick turnaround, prioritising by date order.
  • Assist in booking mammograms and MSK referrals delivered at the centre.
  • Post‑collect, open, date‑stamp, distribute incoming post, and post outgoing post.
  • Generate letters as required by the business.
  • Monitor stock and reorder goods when required.
  • Process invoices and delivery notes following Bupa policy.
  • Contribute to maintaining well‑presented facilities through proactive escalation when necessary.

  • Excellent written and verbal communication.
  • Ability to deliver outstanding customer service.
  • Administrative and reception experience.
  • Organised, reliable and proactive attitude.
  • Computer literate.
  • Knowledge of medical terminology (desirable).
