Job Overview
The Health Records Co‑ordinator will have delegated operational management of the Acute Health Records Services and will be responsible for providing an essential support service in the continuing care of patients, ensuring that the case notes are at the right place at the right time.
The Health Records Co‑ordinator will support the delivery of the Health Records Operational Plan by supporting the Assistant Health Records Site Manager, and will actively promote the vision for the Health Records Service working toward a digital records future.
Responsibilities
- Assist in the strategic development of the Health Records Service through efficient staff supervision.
- Support the Assistant Health Records Site Manager with the day‑to‑day operations of the service at their site.
- Ensure the Health Records service is delivered and sustained, meeting the needs of users and service standards.
- Meet departmental operational objectives, improving the availability, quality, and security of case notes in accordance with the Health Records Management Procedure and relevant legislation.
- Work flexible hours on a planned basis to provide support for staff working outside core hours.
- Promote the vision for a digital records future and support modernization plans for Health Records.

Person Specification
Qualifications and/or Knowledge
- NVQ Level 4 or equivalent experience / knowledge.
- ILM Level 2 Management Qualification or equivalent experience. Willingness to complete within 2 years if not held.
- Knowledge and understanding of the role of supporting/supervising a team of staff.
- Desirable: Knowledge of NHS Records Management legislation.
- Desirable: Evidence of Continual Professional Development.
- Desirable: Ability to speak Welsh. Welsh and/or English speakers are equally welcome to apply.
Experience
Essential criteria
- Experience of leading, influencing and negotiating a team within an operational service.
- Experience of managing/directing staff.
- Experience of assisting with improvement.
Desirable criteria
- Supervisory experience or experience working within the Health Records Department.
Aptitude And Abilities
Essential criteria
- Ability to concentrate and make decisions on a variety of tasks and changing priorities.
- Ability to sustain accuracy / attention to detail of work and achieve a consistently high standard with a demanding workload.
