Waiting List Coordinator – Paediatric Cardiology, Bristol Children’s Hospital.
Part‑time (30 hours per week). This role arranges and books daycase and procedure dates, communicates with families and the clinical team, handles day‑to‑day queries, and manages the admission process in line with the Patient Administration Procedure (PAP).
Main duties of the job
- Process inpatient admissions by telephone, including informing patients of changes or cancellations and re‑booking as required.
- Record, maintain and update admission information on the Trust’s Patient Administration System (PAS).
- Register patients onto waiting lists and generate all associated paperwork in accordance with the PAP and Trust Inpatient Booking Procedures.
- Arrange pre‑operative assessment appointments, checking proformas to ensure patients are fit for admission.
- Book patient appointments in line with the PAP and arrange related services such as transport and interpreting services.
- Accurately enter data into computerised databases using relevant computer systems.
- Check incoming email inboxes daily to stay updated on departmental and Trust‑wide information.
Qualifications and Training
- GCSE in English Language and Maths at grade C or above (or equivalent).
- Business and Administration Level 3 NVQ or equivalent experience.
- Demonstrate proficiency in spoken English to an appropriate standard (assessed at interview).
Knowledge and Experience
- Clerical / administrative experience, including filing and/or reception.
- Experience of dealing with the public, both on the phone and in person.
- Previous NHS experience.
- Experience using a Patient Administration System.

- Effective and polite manner when dealing with people, face‑to‑face and on the phone.
- Ability to work under pressure, meet deadlines and maintain a high standard of accuracy.
- Team player, able to adapt to change and motivate others.
- Initiative and independence when required.
- Confidence to handle difficult conversations with patients, relatives and carers.
- Effective organisational and IT skills, including Microsoft packages.
- Working knowledge of admission policies and procedures.
