Role

To support effective clinical care by providing an efficient Health Records service to patients, medical and nursing staff, and to administer and process patient appointments for clinics, day cases and in‑patient admissions accurately. Ensure patient records remain confidential, are securely stored and available when required.

Work in a fast‑paced call centre environment, handling a high volume of incoming and outgoing calls, booking, cancelling and rearranging outpatient appointments while providing clear and helpful information to patients.

Initially based at Queen Elizabeth University Hospital, this GGC‑wide post may be relocated within the network when needed.

Duration, Location and Working Pattern

  • Main location based in Queen Elizabeth University Hospital.
  • Permanent contract.
  • Full‑time position (36 hours per week) and part‑time position (26 hours per week) available.

Key Responsibilities

  • Maintain patient confidentiality in line with the General Data Protection Regulations 2018 (GDPR) and Caldicott principles.
  • Operate the computerised patient management system (TrakCare), ensuring patient information is accurate and up to date in compliance with GDPR, to support patient care and facilitate national returns.
  • Accurately update the electronic tracer system when extracting and filing case records and on delivery and collection of scanning folders.
  • Deal with telephone and face‑to‑face enquiries from all staff groups in the NHS, patients, relatives, carers and external agencies, directing and prioritising queries to ensure efficiency and effectiveness of service delivery.
  • Sort and handle internal/external mail and deliveries as appropriate.
  • File case records, provide expert assistance in tracking case records and maintain the filing room area to ensure maximum availability of case records and participate in condensing multi‑volume case records to assist quick retrieval of clinical information.
  • Collect case records/scanning folders from other hospital areas for filing and distribution purposes.

Knowledge, training, qualifications and/or experience required

  • National 4 or Level 1 qualification in 3 subjects, including English or equivalent.
  • General administration and office experience/previous clerical experience desirable.
  • Computer literate with good keyboard skills.
  • Previous reception experience along with good communication skills required.
  • Prior experience of using a Patient Management System desirable.
