Hours: 37.5 hours per week, Monday – Friday, 9am-5:30pm with 1 hour unpaid break
Work model: Potential for hybrid working after 3 months (3 days office based, 2 days home based)
Purpose of role
The Personal Assistant provides enhanced, proactive support to a busy team of sector fee earners, enabling them to operate efficiently. Work is seamless, high standard, requiring self‑management, initiative, and confidentiality. The role supports the Manchester office of circa ten individuals across various sectors and functions as a workflow manager for other support services.
Responsibilities
- Proactively manage complex diaries for partners and fee earners.
- Answer telephone calls promptly, take clear and detailed messages.
- Organise internal and external meetings.
- Liaise with clients via email, telephone and in person, acting as the point of contact in line with the firm’s client‑care standards.
- Assist fee earners in billing and credit‑control processes, generating accurate billing reports, draft bills and accompanying letters.
- Assist with finance tasks, including requesting cheques, CHAPS/BACS payments, bank transfers and paying money received.
- Ensure accurate and timely use of the client‑relationship‑management tool for matter opening, maintenance, closure, and archiving.
- Maintain up‑to‑date client records on the firm’s CRM, including contact details, billing requests, and other relevant information.
- Coordinate fee‑earner movements and arrange travel.
- Manage client and matter inception, ensuring timely file opening in accordance with firm policies.
- Submit partner/fee‑earner expenses promptly.
- Coordinate completion of document production (digital dictations, manuscript amendments), e‑filing, copying and scanning, courier services and sending out letters/faxes.
- Produce official documents including bundles, court papers and liaise with courts/tribunals.
- Participate in all relevant training.
- Demonstrate flexibility with working practices under high workload.
- Assist other team members and work with legal and support departments as required.
- Perform any other relevant duties reasonably requested by fee earners or the line manager.
