Service Location: Heathrow (Office-based, Full-time)
Reporting to: Project Manager
Job Purpose
The Administrator will be responsible for delivering an efficient and professional administrative service to a priority project team.
Duties to include, but not limited to:-
- Manage incoming communications including telephone calls and emails.
- Set up project files and ensure all details are accurately recorded.
- Assist in preparing all necessary project documentation.
- Maintain project files with all required information.
- Create purchase orders as required for the project.
- Liaise with suppliers and hire companies, including chasing outstanding equipment.
- Arrange off‑hire of equipment and follow up to ensure timely collection.
- Handle initial invoice queries with suppliers.
- Support the administration of various forms and processes, including:
- New project entries into CSS
- Payment plans
- Installation schedules
- Manage delivery confirmations and return documents to suppliers.
- Prepare commissioning and SAT (Site Acceptance Test) packs.
- Prepare and issue O&M (Operation and Maintenance) documentation.
- Organise travel arrangements for staff when required.
Essential Requirements
- Excellent telephone manner and communication skills (both written and verbal).
- Flexible approach to work with the ability to prioritise and meet deadlines under pressure.
- Strong attention to detail with a high level of accuracy.
- Ability to work independently with minimal supervision.
- Proven ability to work effectively as part of a team.
- Competent in the use of Microsoft Office applications.
- Enthusiastic and committed to continuous learning.
- Comfortable working with engineered products.
