Service Location: Heathrow (Office-based, Full-time)

Reporting to: Project Manager

Job Purpose

The Administrator will be responsible for delivering an efficient and professional administrative service to a priority project team.

Duties to include, but not limited to:-

  • Manage incoming communications including telephone calls and emails.
  • Set up project files and ensure all details are accurately recorded.
  • Assist in preparing all necessary project documentation.
  • Maintain project files with all required information.
  • Create purchase orders as required for the project.
  • Liaise with suppliers and hire companies, including chasing outstanding equipment.
  • Arrange off‑hire of equipment and follow up to ensure timely collection.
  • Handle initial invoice queries with suppliers.
  • Support the administration of various forms and processes, including:
  • New project entries into CSS
  • Payment plans
  • Installation schedules
  • Manage delivery confirmations and return documents to suppliers.
  • Prepare commissioning and SAT (Site Acceptance Test) packs.
  • Prepare and issue O&M (Operation and Maintenance) documentation.
  • Organise travel arrangements for staff when required.

Essential Requirements

  • Excellent telephone manner and communication skills (both written and verbal).
  • Flexible approach to work with the ability to prioritise and meet deadlines under pressure.
  • Strong attention to detail with a high level of accuracy.
  • Ability to work independently with minimal supervision.
  • Proven ability to work effectively as part of a team.
  • Competent in the use of Microsoft Office applications.
  • Enthusiastic and committed to continuous learning.
  • Comfortable working with engineered products.
