Job Specification: Part-Time Personal Assistant (PA)

Location: London (On-site, 3 days per week)

Contract Type: Ongoing contractor (initially 6 months – likely to be extended)

Day Rate: £300-350

Department: Supporting Senior Leadership (Legal & Product Teams)

Overview

We are seeking a highly organised and proactive Part-Time Personal Assistant to support senior team members within a fast-paced Global Investment Management firm.

This role provides essential administrative and organisational support to 4/5 senior leaders across the Legal and Product teams, including Heads of Department and Managing Director-level stakeholders. The ideal candidate will be accustomed to working within large corporate organisations and able to manage multiple stakeholder requests and priorities with accuracy and professionalism.

Key Responsibilities

Executive & Team Support

  • Provide comprehensive PA support to senior team members to enable them to operate efficiently and effectively.
  • Manage multiple complex diaries, ensuring seamless travel scheduling across global time zones.
  • Arrange regular global travel, including flights, hotels, visas, itineraries, and cross‑timezone scheduling.
  • Coordinate small and large-scale meetings with internal and external stakeholders.
  • Book meeting rooms, organise catering/refreshments, and ensure all logistics run smoothly.

Administrative Tasks

  • Prepare, print, and organise legal documents in a timely manner, ensuring sign‑off processes are completed accurately.
  • Maintain and update Excel spreadsheets with high attention to detail.
  • Prepare occasional PowerPoint presentations as required.
  • Process expenses and provide general administrative support across the team.

Skills & Experience Required

  • Strong experience supporting senior leaders in a large corporate environment.
  • Proven ability to manage multiple complex diaries and international travel arrangements.
  • Excellent organisational skills with a high level of attention to detail.
  • Proficient in core Microsoft Office applications (Outlook, Excel, PowerPoint, Word).
  • Confident communicator with the ability to liaise professionally with stakeholders at all levels.
  • Ability to work proactively, handle competing priorities, and deliver to tight deadlines.
  • Previous legal PA experience is beneficial but not essential.
