Band 5 Project Support Officer

An exciting opportunity has arisen for a motivated and dynamic Project Support Officer to join the Strategic Projects Team within Maternity Services at UHB.
This is an excellent opportunity for an individual who is passionate about improving maternity services and enhancing the experience and outcomes for women, babies and families across our services. The role offers valuable exposure to strategic programme delivery, service improvement and collaborative working across multidisciplinary teams within one of the UK’s largest NHS Trusts.
You will play a key role in supporting the delivery of a wide range of strategic projects and programmes across Maternity Services. Working closely with Strategic Project Managers, you will help ensure project objectives and deliverables are achieved efficiently and effectively, while also taking responsibility for leading allocated projects within the wider strategic portfolio.
The role involves managing small to medium-scale projects, supporting project planning and reporting processes, monitoring project schedules, maintaining risk registers and coordinating updates from a range of stakeholders. You will utilise project management systems and tools to track progress, identify interdependencies and support the successful delivery of projects and programmes.

Main duties of the job
- Support the delivery of strategic projects and programmes within Maternity Services, working closely with the Strategic Projects Team and Director of Strategic Projects.
- Manage and coordinate small to medium-scale projects, ensuring project milestones, timelines, risks, and deliverables are effectively monitored and achieved.
- Prepare, maintain, and distribute project documentation including project plans, reports, action logs, risk registers, presentations, and meeting papers.
- Maintain accurate project administration systems, documentation, version control, and project tracking using Microsoft Office and project management software.
- Liaise and build effective working relationships with a wide range of stakeholders including senior managers, clinical teams, corporate services, external organisations, and collaborative partners.
- Support the organisation and coordination of project meetings, training sessions, events, and workshops, including taking minutes and following up on agreed actions.
- Analyse and interpret complex information and project data to support reporting, identify project interdependencies, risks, and provide recommendations to stakeholders.
- Provide administrative and office management support including monitoring departmental expenditure, ordering supplies, and maintaining equipment and resources.

Person Specification
Qualifications
- GCSE in Maths and English or equivalent numeracy and literacy
- Degree or equivalent knowledge, training or experience – e.g. in project management / administration
- Further evidence of study to postgraduate level or equivalent
Experience
- Demonstrate experience of working within a project management environment supporting the delivery of projects
- Experience of analysing documents
- Experience of communicating with a wide range of staff
- Experience of writing reports
- Knowledge of the NHS structures and health and social care delivery systems
- Knowledge of the Project Management theory and processes
- Good understanding of data protection/ confidentiality principles (related to personally and/or commercially sensitive information)
- Experience of working with a project software toolscript>
- Knowledge of Risk and Issue Management.
- Experience of stock management within a team.
- Experience of taking minutes (where required) at meetings with Senior Managers
