Project Support Officer

NHS AfC: Band 4

Job Overview

To provide a full range of administrative and project support duties to the Capital Team, assist with the project planning stages of capital & revenue schemes, liaise with other departments to organise meetings and manage workload, act as the first point of contact for enquiries, plan and organise own time using initiative to meet deadlines, and maintain a project library and database for all Capital Schemes (paper & electronic).

Main Duties of the job

Arrange meetings (e.g. Project Board, Technical Meetings, User Groups) and associated documentation, provide administrative support including taking and transcribing minutes, and produce and circulate relevant papers. Handle incoming and outgoing emails, taking appropriate action when required.

Maintain the Capital Team’s electronic diary appointments, re‑arrange and prioritise as needed. Type and distribute letters, surveys, reports, circulars, spreadsheets, policies, statements, presentations, etc. as required.

Take appropriate action in the absence of Senior Managers regarding complaints, press enquiries, etc., using initiative and discretion.

Handle highly confidential and sensitive information with discretion.

Assist the Capital Team with day‑to‑day workload management, operating flexibly within the role and providing all necessary support.

Ensure team annual leave and sickness absence is recorded in the ESR system.

Perform general clerical duties, including photocopying and faxing.

Qualifications

  • NVQ up to Level 3 or equivalent experience
  • BTEC National Diploma in Building or industry‑related experience
  • ECDL or equivalent

Knowledge and Experience

  • Previous secretarial or clerical experience
  • Experience of Microsoft Office
  • Experience of computerised systems such as AutoCAD, CAFM, Micad
  • Experience of NHS structures and objectives

Other Requirements

  • Remain calm during periods of pressure
  • Maintain concentration when checking tender/contract documents
  • Be willing to work over MWL Hospital sites
  • Office‑based role with visits to uninhabited, inaccessible or unused hospital areas
