Waiting List Officer

An exciting opportunity has arisen within our Waiting ListTeam.
Working 37.5 hours per week as part of our waiting listteam, you will be responsible for the adding of patients to elective inpatientwaiting list, arranging Pre-Assessment appointments and theatre schedulingwithin the Trusts agreed timescale.
You will be educated to 5 GCSE Level or NVQ Level 2 inBusiness & Administration or Customer Service or have relevant experiencewithin a busy office environment. Previous NHS experience and knowledge ofPatient Administration Systems would be advantageous but is not essential.
The ability to work under pressure both individually and as part of a team is important to ensure that deadlines are met. Goodorganisational and interpersonal skills are essential in order to be able toachieve this. Excellent customer service skills are essential for this role.
The successful candidate will be based at UniversityHospital of North Durham and may be required to work at other sites within theTrust, if necessary.
Thispost includes the ability to hybrid work (office and home working)
Main duties of the job
You will be responsible for theday to day management of all patients listed for elective surgery. Thisincludes making pre-assessment appointments, organising interpreters, arrangingsurgery dates, taking into account booking rules, urgent/routine ratios andworking with clinical staff to achieve patient satisfaction.
You also liaise with GP’s,hospital staff and other professional bodies to ensure smooth running of thedepartment.
Enquiriesshould be dealt with in a prompt, responsive and courteous manner at all timesto ensure patients are satisfied with the service provided by the Waiting ListTeam and to ensure the Trust is portrayed in a positive manner.
About us
We provide hospital services from two acute sites – Darlington Memorial Hospital and University Hospital of North Durham. We have a centre for planned care in Bishop Auckland and provide care from community hospitals in Chester-le-Street, Shotley Bridge, Barnard Castle, Sedgefield and Weardale as well as over 80 other community based settings and providing care in patients’ homes.

Job responsibilities
- Adding patients to the waiting list in accordance to localand NHS policies and procedures
- Manage a number of elective waiting lists withinspecialities operating Trust Wide ensuring efficient and effective use oftheatre sessions
- Proactively manage patients referred for elective surgery.You must exercise initiative, judgement and knowledge whilst following policiesand procedures to book patients for pre-assessment and their surgery.
- Working in a demanding office environment dealing withcomplex and sensitive information on a daily basis.
- Overcoming barriers on a daily basis in supporting patientsthat may not easily understand verbal communication due to cultural or languagedifferences, physical or mental special needs. To use tact and persuasion tonegotinate convenient surgery dates.
- Book interpreters for patients attending who require alanguage interpreter or British Sign Language interpreter.
- Schedule patients for surgery into the Trust theatre system.
- A good knowledge of medical terminology would beof benefit.
Person Specification
Qualifications
- Good standard of Education with 5 C grade GCSEs (including English Language and Maths) OR equivalent experience
- NVQ in Level 2 Business Administration or Customer Service
Special Skills and Knowledge
- Experience of Microsoft packages
- Experience of dealing with tight deadlines and targets and the ability to work on own initiative, make informed decisions and communicate these to a team leader/manager where necessary
- Highly organised and have the ability to prioritise own workload
- Understanding of NHS performance targets
- NHS Medical terminology
Experience
- Relevant experience within an administrative role
- Experience of working with the general public or customer service experience
- Previous NHS experience i.e. Reception, Waiting List or other Administration posts
