About the Company

We have an amazing new permanent opportunity for an experienced Executive Assistant to work within the Life Sciences sector, working exclusively with the Chief Scientific Officer. Our client is a Life Sciences organisation and the role will be providing support to the CSO providing a wide range of tasks and responsibilities with the focus of optimising CSO’s time enabling them to focus on key business priorities, duties required extensive multi-tasking and prioritisation of workload.

About the Role

This is a full-time position that will be split between their office in central London working here 2 days a week, the office based in Stevenage in Hertfordshire 1 day a week and then 2 days a week working from home. The successful candidate must have had recent experience of working in the Life Sciences or Scientific sector. Excellent salary and benefits package available.

Responsibilities

  • Provide proactive and detailed calendar and diary management.
  • Proactive management of the CSO’s email inbox to include implementation of a triage system.
  • At as primary contact, prioritise and manage enquiries with accuracy and actively troubleshoot to support seamless daily operations.
  • Coordinator end to end logistics for internal and external meetings – setting up meeting rooms, arranging refreshments and greeting visitors.
  • Coordinate travel arrangements, booking transportation and accommodation, preparing itineraries and managing expenses.
  • Taking minutes at meetings, tracking and following up on actions and assisting colleagues with timely delivery of tasks and projects.
  • Function as the key liaison between the CSO and their internal and external stakeholders and teams, building and maintaining strong relationships.
  • Provide the CSO with timely updates and up and coming commitments, anticipating their needs in advance of meetings and events.
  • Proactive collaboration with other EA’s and PA’s in the organisation to develop and enhance ways of working, following best practice, providing cover and assistance when required.
  • Undertake additional projects and duties when required, demonstrating flexibility and a proactive approach.
  • Mentor a PA/Administrator from the admin support team.

Qualifications

  • Significant experience as an Executive Assistant working at senior level.
  • Recent or current experience working within the Life Sciences or Scientific sector.
