About The Role
The Group Procurement Assistant provides essential administrative, analytical, and operational support to the Group Head of Procurement, the Group Procurement Team, and the wider procurement function.
This role ensures the smooth running of all procurement processes, including reporting, data management, supplier administration, document control, and coordination of procurement activities.
Key Responsibilities
Administration & Coordination
- Carry out all general procurement administration tasks, ensuring accuracy and timely delivery.
- Maintain procurement documentation including contracts, supplier records, policies, and internal templates.
- Support tender activity by preparing documentation, collating responses, and managing file storage.
- Coordinate procurement meetings, agendas, action logs, and minute-taking where required.
Reporting & Data Management
- Create, run, and maintain daily, weekly, and monthly procurement reports using Excel and other Microsoft tools.
- Assist in maintaining procurement dashboards and analytics, preferably using Power BI.
- Support the Category Managers with spend analysis, supplier performance tracking, and data cleansing.
- Ensure data accuracy across all procurement systems and reporting platforms.
Procurement Support
- Assist the Procurement team category and assistant category manager, with document collection, and set‑up processes and support as needed.
- Help monitor supplier performance information, KPIs, and contract renewals.
- Provide day‑to‑day support in the execution of category strategies and procurement initiatives.
- Support group‑wide procurement projects, audits, and improvement programmes.
Team Support & Collaboration
- Work closely with the Group Head of Procurement and team to support diary management, report preparation, and business updates.
- Provide operational support to the Group Category Managers as required.
- Liaise with business units across the group to coordinate information, requests for reporting, and documentation.
- Support communication of procurement policies, guidance, and updates across the organisation.
Key Skills & Experience
- Essential:
- Advanced Excel skills, including power query, formulas, pivot tables, lookups, and data manipulation.
- Strong working knowledge of Microsoft Office applications (Outlook, Word, PowerPoint).
- Excellent organisation and administrative skills with strong attention to detail.
- Ability to manage multiple tasks, prioritise effectively, and meet deadlines.
- Strong communication skills and confidence in liaising with colleagues at all levels.
- Analytical mindset with the ability to work comfortably with data.
- Preferred:
- Experience using Power BI for dashboard creation or reporting.
- Prior administrative or analytical experience within procurement, commercial, finance, or operations.
- Interest in developing a long‑term procurement career.
