Job Description:

We are seeking an experienced and highly organised Legal Personal Assistant to provide comprehensive support to senior stakeholders, fee earners and clients.

As a Legal PA you will play a key role in ensuring the smooth delivery of client services, acting as a trusted support partner across a broad range of administrative, financial, client relationship and project coordination activities.

Key Responsibilities

Client & Stakeholder Support

  • Act as a key point of contact for clients, managing communications professionally and efficiently.
  • Build and maintain strong relationships with internal stakeholders and external clients.
  • Coordinate client meetings, ensuring all logistics, materials and follow-up actions are managed effectively.
  • Support client care initiatives and contribute to delivering an outstanding client experience.

Diary, Travel & Meeting Management

  • Manage complex diaries and scheduling for senior stakeholders.
  • Organise meetings, conference calls and events, including room bookings, catering and technology requirements.
  • Coordinate domestic and international travel arrangements and itineraries.

Project & Business Support

  • Assist with the preparation of presentations, pitches, reports and client-facing materials.
  • Coordinate and support client projects, ensuring deadlines and deliverables are met.
  • Work closely with Business Development and Marketing teams on events, initiatives and client activities.
  • Identify opportunities to improve processes and enhance service delivery.

Financial Administration

  • Support billing, invoicing, expenses and time recording processes.
  • Liaise with finance teams regarding client accounts, billing queries and credit control matters.
  • Produce financial and management reports as required.

Administrative & Compliance Support

  • Manage file opening, conflict checks and risk assessment processes.
  • Draft engagement documentation and maintain accurate client records.
  • Ensure information is updated across relevant systems and databases.
  • Coordinate document production, scanning, filing and administrative workflows.
  • Monitor and prioritise workloads to ensure deadlines are consistently achieved.

About You

  • Experienced in a Personal Assistant, Executive Assistant or Client Services support role.
  • Comfortable working within a professional services, legal, financial or corporate environment.
  • Highly organised with the ability to manage multiple priorities simultaneously.
  • Proactive, solutions-focused and able to work independently.
  • Confident communicating with stakeholders at all levels.
  • Skilled in Microsoft Office and experienced using business management systems.
  • Detail-oriented with a commitment to accuracy and excellence.
