Job Description:

We are seeking a motivated and collaborative individual to join our team as a Divisional Administrative Assistant. This role offers an exciting opportunity to provide comprehensive and proactive administrative support for divisional staff and activities undertaken in the School. You will be a key administrative point of contact within the divisions, ensuring questions, issues and concerns are dealt with effectively within a dynamic and inclusive environment.

Responsibilities

  • Proactively provide general administrative support, delivering a high quality, confidential and flexible service including complex diary management of a number of senior members.
  • Act as the first point of contact with ability to deal professionally and effectively with a range of internal and external enquiries by phone.
  • Organise meetings, conferences and seminars, including booking rooms, arranging AV equipment and catering, distributing papers.
  • Servicing and organising regular and ad‑hoc meetings and events, including booking rooms, equipment and refreshments; collating and distributing agendas; taking and distributing minutes.

Essential Criteria

  • Working knowledge of administrative processes and procedures, ideally within a higher education / NHS trust environment.
  • Experience of working with administrative processes in a customer‑facing environment, ideally with knowledge and/or experience of a higher education / NHS Trust environment.
  • Experience of managing diaries and of providing PA support to senior staff.
  • Experience of taking minutes.
  • Good organisational skills, and ability to prioritise work in a busy environment and meet strict deadlines.

Desirable Criteria

  • Experience of contributing to the organisation and smooth running of events.
  • Experience of managing heavily formatted data (e.g. in databases, database‑driven online applications or large spreadsheets).
  • Experience of authoring content for the web and of related tasks such as sourcing images, managing updates, co‑ordinating with material hosted elsewhere, etc.
  • Working knowledge of Oracle/iProc/Discoverer/Key Travel/JobTrain/CMS (Website tool) and Pure.
