Job Overview
We are looking for an experienced Administrative Assistant to join our Global Markets Administrative team in London. The role supports FICC Sales & Trading teams and includes executive assistant duties within a multinational environment.
Responsibilities
- Provide administrative support to FICC Sales & Trading teams.
- Manage complex diaries and coordinate internal and external meetings.
- Arrange and coordinate client meetings and conference calls.
- Organise travel, including visas and itineraries.
- Process expenses via Concur and manage compliance approvals.
- Submit call reports and maintain I‑Track records.
- Coordinate team events, including analyst roadshows.
- Maintain and update client databases, logging interactions and managing access to research and conferences.
- Support project coordination and business continuity activities.
Qualifications
- Previous experience in an administrative, executive, team, or personal assistant role.
- Investment banking experience is advantageous.
- Strong written and verbal communication skills.
- Confident working with stakeholders at all levels, including external clients.
- Well organised with strong planning and prioritisation skills.
- Proactive, with high attention to detail and accuracy.
- Discreet and reliable, with a strong work ethic.
- Professional in handling sensitive and confidential information.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to manage multiple tasks effectively and work under pressure.
- Flexible, team‑oriented, and positive in approach.
- Strong interpersonal skills; approachable and professional.
- Strong problem‑solving ability, with a proactive mindset to anticipate needs.
