The Vale of Glamorgan Commissioning team is seeking a highly organised and motivated administrator to provide comprehensive and specialist support to the Commissioning and Direct Payments teams. The role involves maintaining and quality assuring complex provider, accreditation, and financial information across multiple systems, as well as supporting contract management, compliance, audit and payment processes.

Key Responsibilities

  • Maintaining and quality assuring Approved/Accredited Provider Lists (APL) across a range of Social Care services.
  • Coordinating the onboarding of new providers, ensuring compliance with contractual, regulatory, and insurance requirements.
  • Monitoring provider compliance, including insurance documentation, renewals, and audit activity.
  • Maintaining provider performance systems, recording safeguarding notifications and quality concerns.
  • Preparing, issuing, and tracking provider contracts in line with governance requirements.
  • Managing databases and spreadsheets to ensure accuracy and consistency of provider and financial data.
  • Supporting performance monitoring and financial reporting, including data collection and analysis.
  • Monitoring payments and maintaining accurate financial records for audit purposes.
  • Supporting communication with providers, including distributing key updates and training opportunities.
  • Monitoring shared inboxes and systems, prioritising and escalating issues where appropriate.
  • Carrying out audits on quarterly monitoring received, identifying any issues, including any potential misuse of Local Authority funds.
  • Highlighting any anomalies identified in audits via a report to Direct Payments Development Officer for further investigation.
  • Following up any actions identified by the Direct Payments Development Officer following conclusion of the above investigation.
  • Maintaining, updating and monitoring the Team’s audit spreadsheet, which allows the team to RAG rate audits in compliance with Internal Audit recommendations and Welsh Government guidelines.
  • The role also involves attending training, supervision, and team meetings, and contributing to the efficient running of the service.

About You

  • We are looking for an individual with excellent organisational skills, strong attention to detail, and the ability to work independently in a busy environment. Experience of providing administrative support in a complex or data-driven environment.
  • Strong IT skills, including experience of databases and spreadsheets.
  • Excellent attention to detail and ability to maintain accurate records.
  • Good communication skills, with the ability to liaise effectively with internal teams and external providers.
  • Ability to prioritise workloads and meet deadlines.
  • An understanding of confidentiality, compliance, and data handling requirements.
  • Experience within Social Care, commissioning, or contract administration would be an advantage but is not essential.
