Job Description:

We are looking for an energetic, well‑organised and hands‑on Operations & Administrative Assistant to work at our recycling facility in Sharnbrook, Bedfordshire. The role works closely with the Site Manager and Director on a wide range of operational tasks and projects.

General Duties

  • Office management duties such as answering phones, diary management, photocopying, scanning, electronic filing and posting all required paperwork.
  • Operating the weighbridge and processing documentation for deliveries in and out.
  • Maintaining a task list and operation trackers.
  • Liaising with internal and external teams to ensure that all queries are addressed promptly.
  • Obtaining timely reports and expediting them where delays occur.
  • Obtaining timely task lists from other managers/associates.
  • Tracking progress and ensuring all team members are on track with their tasks.
  • Gathering information from operations and site managers as directed.
  • Ad‑hoc administration duties to meet the needs of the business.
  • Ensuring full compliance with company health, safety, security and environmental standards.
  • Organising and filing checks, sheets and training records.
  • Filling and completing daily reports.
  • Conducting team meetings and briefs, taking notes and minutes.
  • Providing holiday cover within the team as required and directed.

Data Recording & Management

  • Perform data entry relevant to operations, stock and production.
  • Input and transfer information into internal databases and Excel models.
  • Compile reports and ensure their accuracy.
  • Timely procurement of production reports and site reports.

Projects Related Duties

  • Keep a record of each project’s status within the operations department and communicate identified issues to your manager.
  • Liaise with other departments and vendors to obtain and update project information or materials.
  • Coordinate project and operations audits, inventories and shipments.
  • Schedule, track and provide support materials for meetings and project events.

Skills and Experience (Essential)

  • Previous experience working in an office in a fast‑paced environment.
  • Good organisational skills; able to prioritise workloads and meet deadlines and targets where appropriate.
  • Self‑starter, meticulous and able to multitask.
  • Good English, both verbal and written.
  • Positive attitude, willing to work flexibly to meet the needs of the business.
  • Excellent communication skills and ability to engage with stakeholders at all levels.
  • Professional and calm approach when handling difficult situations.
  • Ability to work as part of a team and unaccompanied.
  • Knowledge of MS Excel.
  • Knowledge of MS Outlook and MS Word.
  • High and demonstrated levels of accuracy.
  • Promote a responsible and professional image at all times.
  • Ability to work without instruction, using good judgement to escape or delegate where required.
  • Experience working in an operational production environment.
  • Experience working on SAP (desirable but not essential).
