Purpose of the Role
To support the successful mobilisation of new school catering contracts, ensuring all projects are delivered on time, fully resourced, and operationally ready for launch. The role acts as a key coordination point between schools, internal teams, and suppliers from contract award through to go-live and handover into operations.
Key Responsibilities
Project & Mobilisation Coordination
- Coordinate mobilisation plans for new school and trust contracts
- Maintain project timelines, trackers, and key milestone deadlines
- Organise mobilisation meetings and ensure actions are followed up
- Produce agendas, minutes, and action logs
- Maintain full mobilisation documentation and audit trails
- Escalate risks and issues where required
Stakeholder Management
- Act as a key point of contact during mobilisation for schools and trusts
- Liaise with internal teams including operations, HR, procurement, finance, and compliance
- Coordinate communication between all stakeholders to ensure smooth delivery
- Support handover into business-as-usual operations
Operational Readiness
- Track equipment orders, deliveries, and installation schedules
- Support IT, EPOS, uniforms, and site setup readiness
- Ensure compliance documentation and site requirements are completed pre-launch
- Monitor readiness against mobilisation checklists
People & Recruitment Support
- Coordinate recruitment and onboarding of site catering teams
- Track DBS checks, training, and compliance requirements
- Support induction planning for new contract teams
- Assist with mobilisation of staffing structures for new sites
Reporting & Administration
- Produce mobilisation reports for senior management
- Maintain accurate project records and status updates
- Support post-launch reviews and lessons learned
Skills & Experience
- Strong background in administration, project coordination, or operations support
- Excellent organisational skills with strong attention to detail
- Confident managing multiple projects and deadlines simultaneously
- Strong communication skills with the ability to work with varied stakeholders
- Proficient in Microsoft Excel, Word, and Teams
- Experience in contract catering, education, facilities management, or similar sectors desirable
