Job Purpose

Responsible for maximising profits in all hotel areas through the planning and coordination of groups and planning of events in the hotel, assisting meeting planners or customers directly and ensuring that quality and service standards exceed customer expectations at all times.

Location

Located in the heart of the commercial district on Old Hall Street, Innside by Melia Liverpool is a new 4* lifestyle hotel with 207 bedrooms, 7 conference suites, and a 360‑degree Sky Bar on the 18th floor.

Duties

  • After the signature of the group contract, you will be responsible for the group and act as the point of contact between the group and the hotel.
  • Prepare price quotes for all group requests for social events and for short‑lead enquiries with arrival dates within 14 days of enquiry.
  • Coordinate all operational details of groups and events, communicating to all departments the characteristics and services required.
  • Complete BEOs, distributing them at least 7 days before the arrival of the group or the event date.
  • Manage group room blocks from the DEF contract stage, including input of rooming lists, correct routing instructions, highlighting VIP reservations, and allocating correct room types and tracers where necessary.
  • Analyse customer needs to start upselling food, beverages, and services to maximise sales and profit.
  • Monitor deposits and payments due, updating the pro‑forma invoice and sending it to the customer as required.
  • Participate in morning briefing meetings to support and coordinate BEOs and group summaries with all departments.
  • Report any changes, cancellations or special requests to the appropriate departments via the daily change log.
  • Lead the pre‑convention meeting to create direct relationships between department heads and the meeting planner.
  • Resolve any issues with the group or event and carry out appropriate follow‑up actions with the customer.
  • Close the group files after all information is received and report customer comments about the event or group to all hotel departments.
  • Maintain regular contact with the customer, supporting operations and ensuring everything is carried out as planned during group bookings.
