Band 4 Medical Secretary Supervisor – Urology (Part Time)

We are looking for an enthusiastic and motivated Band 4 part‑time Medical Secretary Supervisor (22.5 hrs per week) to join the Urology Department at the University Hospitals Birmingham NHS Foundation Trust. The post will be based at Queen Elizabeth Hospital Birmingham site.

Responsibilities

Key duties include:

  • Provide a professional and high quality secretarial service, including minute taking and audio typing of letters.
  • Manage the consultant’s day‑to‑day admin: book admissions and appointments, import documentation into electronic patient records.
  • Plan and prioritise own workload to support consultants and the wider team.
  • Maintain accurate records, manage waiting lists and the RTT pathway.
  • Liaise with patients and colleagues internally and externally, acting as a proactive, approachable and supportive link.

Qualifications

  • Good general education (GCSE English and Maths A‑C, Level 9‑4).
  • Business Administration NVQ level 3 or equivalent clerical experience.
  • AMSPAR Certificate or equivalent qualification in medical terminology.
  • Proficiency in MS Office and other IT systems.

Experience

  • Experience as a medical secretary.
  • Experience in a busy healthcare environment.
  • Strong organisational, multitasking and initiative skills.
  • Ability to work under pressure, meet deadlines and adapt to changing workloads.
  • Customer‑service experience and good communication skills.

Additional Criteria

  • Excellent touch‑typing and audio‑typing skills.
  • Knowledge of medical terminology and the RTT pathway.
  • Confidentiality and data protection awareness.
  • Team‑player with a proactive, flexible approach.
  • Understanding of equality, diversity and making reasonable adjustments.
