The Opportunity
An excellent opportunity has arisen for Workplace Assistants to join a leading law firm in London on fixed-term contracts. These Workplace Assistant roles are hands‑on, department‑based positions providing essential day‑to‑day operational support to Fee Earners, PAs and legal teams.
As a Workplace Assistant, you will play a key role in ensuring smooth daily operations across the department by supporting document handling, reprographics, file management, stationery control and workspace readiness. These Workplace Assistant positions are ideal for proactive, service‑focused individuals who thrive in fast‑paced professional environments.
Available Roles
- 2 x Workplace Assistant roles (6-month FTC)
- 1 x Workplace Assistant role (12-month FTC)
Key Responsibilities
Department-Based Support
- Provide on‑floor, day‑to‑day support within assigned departments as a Workplace Assistant.
- Handle reprographics tasks including printing, scanning, photocopying and document production.
- Support creation of data rooms, e‑bundles and ShareFile preparation.
- Assist Fee Earners and PAs with locating and using reprographics equipment.
Stationery & Print Room Management
- Monitor and replenish stationery supplies across departmental areas.
- Ensure printers are fully stocked with paper, toner and consumables.
- Report and escale equipment issues promptly.
- Support continuity of service by preventing downtime in print and copy areas.
Post, Courier & Mail Handling
- Process incoming and outgoing post in line with firm procedures.
- Manage courier requests including same‑day, international and overnight deliveries.
- Prepare, label and dispatch parcels accurately.
- Track courier deliveries and update workflow systems as required.
File & Document Management
- Support file creation, organisation and physical document handling.
- Assist with engrossing documents, binding and assembling files.
- Maintain matter folders and support file closure and archiving processes.
- Ensure all documentation is handled accurately and in line with firm standards.
Workspace & Operational Support
- Maintain tidy, fully stocked and professional departmental workspaces.
- Support movement of documents, supplies and materials as required.
- Ensure print hubs, filing areas and collaboration spaces are well maintained.
- Assist with general housekeeping of workplace environments.
Wider Workplace Services Support
- Provide reception cover, meeting room support and visitor assistance when required.
- Support mailroom and service desk operations during busy periods.
- Assist with ad‑hoc facilities and operational tasks across the firm.
- Support records management and document storage processes where needed.
Skills & Experience
The successful Workplace Assistant will have:
- Previous experience in office support, facilities, workplace services or administration.
- Strong customer service and communication skills.
- Ability to multitask in a busy, department‑based environment.
- Good understanding of printing, scanning and document handling processes.
- High attention to detail and accuracy.
- A proactive, reliable and flexible approach.
- Ability to work well as part of a team and support multiple stakeholders.
- Professional and service‑focused attitude at all times.
