POSITION

Operations Support Assistantsare part of theOperations Support Team.Theymanageand processincoming communications, including byphone,emailand post.In doing this, theyelectronically file and labelevidence and other documentation relatedto medico-legal cases.As part of their day-to-day operations, the team provides general administrative support to other teams in the organisation.

Operations Support Team Leader

PRIMARY RESPONSIBILITIES

  • Being a primary contact for all telecommunications into the office, which will involve screening telephone calls,identifyingthe userin accordance withcompany policy and assigning to theappropriate S&Ateam member.
  • Managing thecompany’semail inboxes;reviewing and assigning messages to the correct case andstaff memberasappropriate.
  • In managing the company’s email inboxes and telephone switchboard;providing clients, experts and internal teams with a quality and positive experience.
  • Managing all incoming and outgoing post; sorting,distributingand preparingpostin accordance withcompany procedures.
  • Providing front of house function;answeringthedoor, greetingvisitorsandmaintainingthe visitor’s book.
  • Overseeing the scanning and/orprocessing of some confidential hard copy but primarily electronic documentation – this ismainly evidenceand communications from solicitors – onto the database and ensuring the storage and destruction of evidencein accordance withcompany policy and GDPR.
  • Reviewing and managing the various administrativetask management systemson the database (e.g. Evidence Missing, Evidence Issues, Royal Mail Track & Trace etc).
  • Processing requests and responses asallocated/ tracked to you.
  • Covering work for team members when appropriate.
  • Providing ad-hoc training for junior team members.
  • Developing and/orassistingin the development of Best Practice Standards. Ensuring theyremainup-to-datewith team practices / processes.
  • Other general administrative dutieswhererequired.

All staff are part of the “Somek team” and maybe requiredtoassistanyother team members whenrequiredand agreed with team leaders or their manager.

PERSON SPECIFICATION

Operations Support Assistantswill need to:

  • Have excellent attention to detail.
  • Have excellent written and verbal communicationandcustomer service skills.
  • Be reliable and trustworthy.
  • Be able to use own initiative, whilst also working as part of a small team.
  • Be able to work under pressure and prioritise their own workload.
  • Have goodorganisationaland time managementskills.
  • Have good critical thinking and problem-solving skills.

QUALIFICATIONS / EXPERIENCE

  • Educated to graduate levelisdesirable but not essential.
  • Havingexperience in role/s involving comparable skillsetsisdesirable but not essential.

FURTHER NOTES

Any offer of employment will be subject to a 3-month probationary period.

Training

In-house training will be provided on all S&A softwareand on all job roles asrequired.
