Assistant Admission Coordinator

Main duties of the job
- Direct contact with patients.
- Greet visitors face‑to‑face and respond to requests for a range of information.
- Receive and respond to telephone calls dealing with a range of requests.
- Receive and respond to emails for a range of requests.
- Book appointments and transport.
- Photocopy and filing.
- Input information on Trust systems.
- Attend handover meetings as required, taking notes when necessary.
- Ensure all tests/treatments requested are booked.
- Cover Saturday/Sunday shifts on a rotational basis, plus some Bank Holidays.

Due to Home Office immigration rules, a full time permanent vacancy cannot be filled by individuals on a Student visa. Therefore, if you are a Student visa holder, we will not be able to offer you a full time permanent contract unless you have:

- or you have successfully completed your course and have applied for a Graduate visa before the anticipated start date of your employment

Person Specification
Qualifications
- Educated to GCSE level or equivalent
- NVQ level 2 Customer Service/Business Admin /ITQ or equivalent experience
- Typing qualification or equivalent
Experience
- Experience of working in a busy office environment or reception role
- Experience of prioritising, planning and organising own tasks
- Working with guidelines
- Experience of customer service or dealing with the public
- Experience of IT packages – Microsoft Office
- Previous experience of working in the NHS
- Experience of call handling
- Experience of dealing with difficult situations and confrontations
Knowledge
- Understanding of confidentiality and data protection
- Understanding of customer service
- Knowledge of the Trust including awareness of the Trust’s priorities
- Knowledge of Trust information systems
- Knowledge of Medical Terminology
Skills
