We are looking for an enthusiastic HR & Payroll Assistant to join our HR team and help deliver a high-quality HR and payroll service across the organisation.

Reporting to the HR & Payroll Advisor, you will play a key role in ensuring the smooth delivery of HR and payroll processes. Acting as a first point of contact for HR and payroll queries, you will provide timely and accurate support to employees while working closely with the HR & Payroll Advisor and Senior HR & Payroll Assistant.

This is a varied position that combines HR administration, payroll processing and employee support, making it an excellent opportunity for someone looking to further develop their career within HR and payroll.

Main duties of the job

KEY RESPONSIBILITIES

HR:

Assist with note-taking during formal meetings and HR processes.

Manage HR inbox enquiries and employee communications

Support HR data quality improvements and reporting.

Payroll:

Support end-to-end monthly payroll processing.

Process new starters, leavers and employee record changes.

Input payroll data accurately across systems and payroll platforms.

KEY REQUIREMENTS

Excellent organisational and administrative skills.

Strong numeracy and attention to detail.

Good working knowledge of Microsoft Word, Excel and Outlook.

Excellent communication and customer service skills.

Ability to manage multiple priorities and meet deadlines.

Job responsibilities

Generic:

Maintain and update systems across HR, payroll and pensions to ensure all documentation and information is accurate and updated in a timely manner

Contribute to the ongoing improvement and development of procedures and processes

Co‑manage joint inboxes, responding to queries and triaging emails according to their escalation level within service level agreements

Human Resources:

Issue letters and documentation to employees

Support with the processing of retirement requests

Support with data improvement for the HR system

Take notes to support colleagues in any formal proceedings

Produce letters/contracts/documents throughout employment life cycle

Monitor and support appraisal uptake across the company, ensuring that meetings are conducted on time and consistently

Monitor levels of annual leave and sending timely communications to staff to encourage uptake of annual leave

Produce and provide accurate HR data when required

Payroll:

Working closely with colleagues, this role is responsible for timely and accurate end‑to‑end processing of monthly payroll including but not limited to:

Input accurate data into timesheet in readiness for submission to payroll provider

Input accurate data into payroll provider platforms, databases and spreadsheets in accordance with standard operating procedures

Set up new starters and processing leavers

Process mileage, overtime and on‑call claims obtaining relevant authorisation

Process salary sacrifice arrangements in accordance with standard operating procedures

Process casual worker hours and annual leave payments

Ensure all absence data is accurately integrated for payroll processing, including sickness, family leave, unpaid leave, etc.

Ensure all payroll changes have been implemented and integrated

Ensuring documents are received to accurately process sick pay

Check draft payslips and raising queries, escalating where necessary

Complete monthly data reconciliation to provide accurate reports

Respond to payroll queries in a timely manner, escalating queries outside of authority

Support with ad hoc payroll projects

Make payroll adjustments

Maintain an effective working relationship with our payroll provider

Provide data and reports to the finance team for reconciliation purposes

Provide annual leave and sickness cover where required.
