About the Role

We are looking for an organised and proactive Operational customer service executive to join our team in Bristol. This is a varied and fast‑paced role responsible for coordinating all transport activities across the business, including dedicated loads, pallet network deliveries, courier services, own‑fleet transport, and European shipments. You will also manage orders at a pending approval state, send CAD drawings for customers to sign off before the team fabricates.

The successful candidate will play a key role in ensuring orders are delivered safely, efficiently, and cost‑effectively while maintaining excellent service levels for both internal and external customers.

Key Responsibilities

  • Arrange and manage dedicated and specialist transport requirements across all areas of the business.
  • Obtain transport quotations and secure the most cost‑effective solutions for customer orders and internal requirements.
  • Consolidate deliveries where possible to maximise efficiency and reduce costs.
  • Raise purchase orders and maintain accurate transport records.
  • Develop a strong understanding of products and loading requirements to ensure the correct vehicle types are selected.

Fleet & Delivery Management

  • Coordinate deliveries using company vehicles and external transport providers.
  • Plan efficient delivery schedules and maximise vehicle utilisation.
  • Arrange site bookings, including specialist projects such as HS2 and other restricted‑access locations.
  • Liaise with warehouse, production, contracts, and customer service teams to determine the most appropriate dispatch methods.

Customer & Site Communication

  • Contact customers and site representatives to arrange deliveries.
  • Confirm delivery requirements, site access restrictions, unloading facilities, and booking procedures.
  • Proactively communicate delivery updates and resolve transport‑related queries.
  • Join fabrication meetings daily to ensure the smooth lining of the process from orders received, to sending the finalised drawing for approval and then ensuring we deliver on time and manage the customers expectations.

Transport Provider Management

  • Build and maintain strong relationships with transport partners.
  • Review supplier performance and identify opportunities for improved service and value.
  • Research and implement solutions for challenging or high‑cost delivery locations.

European Transport

  • Coordinate European shipments through pallet networks, dedicated transport, and courier services.
  • Work closely with internal teams to ensure all commercial invoices and shipping documentation are completed accurately.
  • Develop relationships with European logistics providers to support future business growth.

Administration & Reporting

  • Monitor transport performance and support DIFOT (Delivered In Full, On Time) reporting.
  • Track and update carriage costs accurately.
  • Schedule transport requirements within internal planning systems.
  • Chase Proofs of Delivery (PODs) and investigate delivery issues.
  • Raise NCRs and elevate transport concerns where appropriate.

Continuous Improvement

  • Identify opportunities to improve transport efficiency, service levels, and cost management.
  • Research new logistics solutions, carriers, and systems.
  • Support ongoing process improvements across the transport function.

About You

We are looking for someone who is highly organised, detail‑oriented, and able to thrive in a busy environment.

Essential Skills & Experience

  • Strong administrative and organisational skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Outlook, Word, Excel, and other standard office applications.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong problem‑solving skills and a proactive approach.
  • Customer‑focused with a commitment to delivering excellent service.
  • Confident learning and using new software systems.

Desirable Experience

  • Previous experience in transport, logistics, supply chain, or distribution.
  • Knowledge of dedicated haulage, pallet networks, and courier operations.
  • Experience coordinating deliveries and liaising with transport providers.
  • Understanding of European transport and shipping processes.
