An excellent opportunity has become available for an experienced Personal Assistant.
12 Month contract, within IR35 for a large software company.
You will provide a proactive and high standard of support to our Managing Director, while managing their diary to ensure that appointments and meetings are efficiently prioritised, allowing them to make maximum use of operational time. This is a full‑time role requiring flexibility and commitment in an interesting and varied environment.
Role and Responsibilities
- Act as a first point of contact: dealing with correspondence and phone calls.
- Manage diaries and organise meetings and appointments, often controlling access to the MD.
- Book and arrange travel, transport, and accommodation.
- Organise meetings, events and conferences.
- Remind the MD of important tasks and deadlines.
- Type, compile and prepare reports, presentations and correspondence.
- Handle legal administration (grammatical review of documents to be sent to legal, submission of legal matters onto an internal legal system, monitoring and progressing matters until conclusion).
- Manage databases and filing systems.
- Implement and maintain procedures and administrative systems.
- Liaise with staff, suppliers and clients.
- Collate and file expense reports.
- Perform miscellaneous tasks to support the MD.
- Provide administration and support to HR.
Qualifications and Skills
The successful candidate will be highly capable of managing competing demands and confident in responding to fast‑paced enquiries from internal and external customers. They must be highly organised, flexible and committed to working as part of a small team.
- Previous experience in a similar role.
- Fluency in the Korean language.
- Excellent communication skills, both orally and written, with a high level of competence with English grammar.
- Discretion and trustworthiness: ability to handle confidential information.
- Flexibility and adaptability, able to work additional hours or be contactable as required.
- Strong organisational skills and the ability to multitask.
- Proactive and initiative‑driven.
- Tact and diplomacy.
- Knowledge of standard software packages and willingness to learn company‑specific software if required.
