Managed Service Coordinator
We are looking for an organized and proactive Managed Service Coordinator to join our team, supporting the delivery of temporary staffing solutions within the logistics, transport, and warehousing sector.
This role is ideal for someone who enjoys working in a fast‑paced operational environment and can confidently coordinate between clients, agency teams, and third‑party suppliers. You will act as the key link between the agency and supplier network, helping to ensure staffing requirements are planned effectively, payroll information is accurate, and client operations run smoothly.
The Role
As a Managed Service Coordinator, you will support the day‑to‑day management of a managed service account, ensuring that labour requirements are fulfilled efficiently and accurately. You will be responsible for coordinating staffing plans, liaising with third‑party suppliers, confirming worked hours, supporting payroll processes, and responding quickly to operational changes.
This is a varied role that requires strong communication, attention to detail, and the ability to manage multiple priorities in a busy logistics environment.
Key Responsibilities
Supplier and Client Coordination
- Act as the main point of contact between the agency, client, and third‑party staffing suppliers.
- Build and maintain strong working relationships with suppliers, operations teams, transport managers, and internal departments.
- Liaise with third‑party suppliers to confirm worker availability, planned shifts, attendance, worked hours, and payroll information.
- Ensure supplier performance supports client requirements, service levels, and operational expectations.
- Communicate staffing updates, issues, and changes clearly and promptly to all relevant parties.
Operational Planning
- Support the planning and coordination of temporary labour across logistics, transport, and warehousing operations.
- Work closely with client operations teams to understand daily, weekly, and seasonal staffing requirements.
- Coordinate shift allocations and ensure planned labour is aligned with operational demand.
- Respond quickly to short‑notice staffing requests, changes in volumes, sickness, no‑shows, and other operational challenges.
- Help ensure adequate staffing levels are maintained across all required shifts.
- Monitor staffing plans and highlight potential gaps, risks, or issues before they impact service delivery.
Payroll and Administration
- Collate, check, and confirm weekly timesheets, worked hours, shift data, and payroll information from suppliers and client systems.
- Liaise with third‑party suppliers to resolve payroll queries, missing hours, rate discrepancies, and invoice‑related issues.
- Ensure payroll information is accurate, completed on time, and submitted in line with internal deadlines.
- Maintain accurate records on CRM, recruitment, payroll, and planning systems.
- Produce reports, KPI updates, labour usage data, and management information when required.
- Support compliance checks and ensure candidate documentation meets legal and company standards where required.
Compliance and Service Delivery
- Ensure all staffing activity is carried out in line with company procedures, client requirements, and relevant legislation.
