Job Description:

An opportunity has arisen for a People Assistant to join our People Team on a 2‑year fixed‑term contract, playing a key role in delivering an efficient, high‑quality People service and supporting colleagues across the full employee lifecycle.

Responsibilities

  • Support the end‑to‑end employee lifecycle, including onboarding, off‑boarding and maintaining accurate employee records.
  • Provide efficient administrative support across People processes and respond to routine People‑related queries, escalating where appropriate.
  • Contribute to continuous improvement of People administration and service delivery.
  • Support the delivery of the RFU People Plan.
  • Assist People Advisors with end‑to‑end recruitment administration, posting vacancies, supporting hiring managers’ use of the recruitment system, and addressing candidate queries.
  • Coordinate onboarding activities for new starters: prepare contracts, offer documentation and induction arrangements.
  • Support new starters through their first‑day induction and handle routine queries.
  • Administer pre‑employment screening checks, including right‑to‑work verification.
  • Support the leaver process and associated administration, ensuring accurate records and communicating changes to relevant departments.
  • Provide administrative support for employee relations cases (note taking, document preparation, record keeping).
  • Assist with recruitment activity: posting vacancies, arranging interviews, maintaining candidate records.
  • Help managers engage casual workers through the internal recruitment system.
  • Escalate complex queries and issues to the appropriate member of the People team.
  • Maintain accurate employee data within Oracle and other People systems, run routine reports and support data requests from the People team.
  • Work closely with Payroll, Finance and Technology teams to ensure employee information is accurate.
  • Support system testing and user acceptance testing activities when required, and assist with organisational and position updates within Oracle.
  • Communicate system updates and process changes to relevant stakeholders.
  • Provide day‑to‑day administrative support across the People team and act as a first point of contact for routine People queries via email, phone and face‑to‑face interactions.
  • Support People projects and initiatives as required.
  • Update organisational charts and People documentation.
  • Prepare documentation and data required for audits and compliance activities.
  • Process DBS checks and maintain records where required.
  • Produce regular reports on people metrics, including starters and leavers.
  • Support Reward administration and respond to routine Reward‑related queries.
  • Collaborate with colleagues to contribute to the development and delivery of strategic, business and operational plans.
  • Act as an ambassador for the RFU, promoting its culture and core values –RoseMeansEveryone:PutTheTeamFirst,ShapeTheFuture,RespectEachOther.

Essential Qualifications

  • Previous administrative experience, ideally within an HR, People, customer service or office environment.
  • Experience maintaining accurate records and working with databases or systems.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Ability to manage multiple tasks and prioritise workload effectively.
  • Confident communicator with strong written and verbal communication skills.
  • Professional, approachable and customer‑focused demeanour.
  • Ability to build positive working relationships with colleagues at all levels.
  • Comfortable handling confidential and sensitive information with discretion.
  • Good working knowledge of Microsoft Office applications, particularly Excel, Word and Outlook.
  • Willingness to learn HR processes, systems and employment practices.

Desirable Qualifications

  • Experience working within an HR team or similar administrative role.
  • Familiarity with HR systems such as Oracle.
  • Basic understanding of HR processes and the employee lifecycle.
  • Working towards, or interest in studying, a CIPD qualification.
