Role Overview:

Matic Building Services Ltd is seeking a highly organised and proactive Service / Office Administrator to support the day-to-day operation of our Service Department.

Working across our Mechanical, Electrical, and Fire & Security service teams, you will play a key role in coordinating service activities, managing documentation, scheduling engineers, and ensuring customers receive a professional and efficient service. This is a fast-paced role requiring excellent organisational skills, strong attention to detail, and a customer-focused approach.

Key Responsibilities:

  • Manage day-to-day administrative tasks within the Service Department
  • Handle incoming telephone calls and respond to customer enquiries
  • Process service requests and accurately raise jobs within the job management system
  • Schedule and coordinate service appointments for engineers
  • Review engineers’ reports for accuracy and completeness before issuing to customers
  • Maintain certification records, ensuring all documentation is correctly logged and stored
  • Issue service reports and certificates promptly
  • Chase outstanding information from engineers, customers, and subcontractors
  • Upload material costs and maintain accurate job records
  • Provide service updates and communicate effectively with customers
  • Support other departments with general administrative duties as required

Essential Requirements:

  • Previous experience in an administrative or customer service role
  • Excellent organisational and time management skills
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Experience using job management systems or CRM software
  • Ability to manage multiple tasks and work effectively under pressure
  • High level of accuracy and attention to detail
