Executive Assistant – VP Commercial

Responsibilities
- Provide day‑to‑day executive support to the VP Commercial, including complex calendar management and coordination of national and international travel.
- Lead end‑to‑end planning of on‑site and off‑site meetings and events, including guest invitations, venue sourcing and booking, transportation, agenda coordination, and participant communication.
- Manage all event logistics, such as travel arrangements for participants and deployment of appropriate AV and technology solutions, ensuring cost‑effective delivery with minimal environmental footprint.
- Attend meetings as required, take minutes, track action items, and ensure timely follow‑up.
- Provide ad‑hoc support to executives as needed.
- Occasional travel within the UK and internationally may be required.
- Drive cost efficiency and ensure adherence to budgets, including negotiation with venues and suppliers for accommodations, meeting spaces, catering, and AV services.
- Prepare and process purchase orders, invoices, and expense reports; maintain accurate financial records and reconciliations.
- Partner with Finance to prepare, monitor, and manage cost centre budgets.
- Provide inter‑departmental administrative support to ensure continuity during planned/unplanned absences and fluctuating workloads.
- Support new employee onboarding, coordinating logistics and documentation.
- Provide administrative and coordination support for corporate‑wide or sensitive projects, as requested by executives.
- Undertake additional ad‑hoc assignments as required.
Qualifications
- Proven experience in an Executive Assistant or Senior Administrative role, supporting senior leaders.
- Strong organizational and multitasking skills, with the ability to manage competing priorities effectively.
- High level of professionalism, discretion, and confidentiality.
- Excellent written and verbal communication skills with strong attention to detail.
- Demonstrated experience managing budgets, expenses, and financial administration.
- Proactive, flexible, and solution‑oriented approach.
- Strong proficiency in Microsoft Office and collaboration tools.
- Experience within a pharmaceutical, healthcare, or regulated environment is advantageous but not essential.
- Fluent in English (written and spoken).
- Flexibility to travel within the UK and internationally as required.
- College diploma in Office Administration (Executive) or equivalent.
- Preferred: 6+ years’ experience in executive administrative support and/or office management roles.
