Job Description:

Position: Reception & Administration Support (Part–time, 24 hours per week)

Location: Over Wyre Medical Centre, Lancashire, coastal GMS, semi‑rural.

Role Overview: Provide general assistance to the practice team and project a positive, friendly image to patients and visitors in person or via telephone. Serve as the first point of contact and support clinical staff with various administrative tasks.

Key Duties and Responsibilities

  • Answering telephone calls and directing patients to the appropriate healthcare professional.
  • Processing appointments, visits and telephone consultations, ensuring callers are directed correctly.
  • Processing and distributing incoming and outgoing mail.
  • Taking messages, passing on information and filing paperwork.
  • Maintaining computer databases, data entry, allocation and collation in line with practice procedures.
  • Initiating contact with patients, team members and associated healthcare agencies as required.
  • Providing clerical assistance (word processing, photocopying, scanning) and monitoring stationery and supplies.
  • Keeping reception area, notice boards and leaflet dispensers tidy.

Quality and Confidentiality

  • Maintain patient confidentiality and handle sensitive information appropriately.
  • Assist in promoting health, safety and security within the practice.
  • Support equality, diversity and rights of patients, carers and colleagues.
  • Participate in training and performance reviews to uphold quality standards.

Qualifications

  • Good standard of general education.
  • GCSE Mathematics C or above.
  • GCSE English C or above.
  • NVQ II in Customer Care.
  • CLAIT Qualification.

Experience

  • Experience working with the general public.
  • Experience in reception or administrative work.
  • Experience working within General Practice.

Skills and Behaviours

  • Excellent written and oral communication skills.
  • Clear, polite telephone manner.
  • Time management and ability to work to deadlines.
