Job Description:

Make a difference behind the scenes by supporting over 3,000 volunteers.

At Jewish Care, our volunteers are at the heart of everything we do. Every day they give their time, compassion and skills to support older people, people living with dementia, adults with disabilities and members of our wider community. We’re looking for an organised and enthusiastic Administration Assistant to help deliver an exceptional volunteering experience from first enquiry through to onboarding and beyond.

If you enjoy administration, love keeping things organised and take pride in delivering excellent customer service, we’d love to hear from you.

This post is working 3 days per week (22.5 hours) Tuesdays, Wednesdays, and Thursdays, from 9am to 5pm with a 30 minute break.

What you’ll be doing

As our Administration Assistant, you’ll provide essential administrative support to our busy Volunteering Team, helping to ensure volunteers receive a professional, welcoming and efficient experience throughout their journey with Jewish Care.

Working closely with Volunteer Managers and the wider team, you’ll:

  • Manage volunteer enquiries via our shared inbox and telephone line.
  • Support volunteer recruitment and onboarding, ensuring applications, references, DBS checks and compliance documentation are processed efficiently.
  • Maintain accurate volunteer records using our volunteer management system.
  • Coordinate volunteer induction and training sessions, including bookings, attendance monitoring and follow-up communications.
  • Upload volunteering opportunities to recruitment platforms and maintain enquiry tracking information.
  • Support meetings by preparing agendas, taking minutes and providing general administrative assistance.
  • Communicate confidently and professionally with volunteers, colleagues and external contacts.
  • Help improve administrative processes that enhance the volunteer experience.

About you

You’ll be a highly organised administrator who enjoys working with people and thrives in a busy environment. You’ll have excellent attention to detail and be confident managing multiple priorities while maintaining a friendly, professional approach.

You’ll bring:

  • Experience in an administrative or office support role.
  • Experience managing shared inboxes or high-volume communications.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • A high level of accuracy when entering and maintaining data.
  • Good knowledge of Microsoft Office, including Outlook, Word, Excel and Teams.
  • The ability to work independently while supporting a collaborative team.
  • A commitment to delivering excellent customer service with empathy and professionalism.

Experience of volunteer administration or using volunteer management or CRM systems such as Better Impact would be an advantage but isn’t essential, as full training will be provided.

Our Volunteering Service is one of the largest in the UK health and social care sector, supporting more than 3,000 volunteers who contribute their time, skills and experience across our services. By joining our team, you’ll play an important role in helping volunteers make a real difference to the lives of the people we support.

Why join us?

At Jewish Care, you’ll be part of a supportive and welcoming team where your work has genuine impact. Every piece of administration you complete helps ensure volunteers can continue providing invaluable support across our organisation.

If you’re passionate about providing outstanding administrative support and want to contribute to a charity making a real difference every day, we’d love to hear from you.
