Apprentice Employment Services Administrator

An exciting opportunity has arisen for an apprentice to join our Employment Services Department
This is a Trainee (Apprentice) role, during which the post holder will be supported to work towards successful completion of:
- Level 3 Business Administration
As an apprenticeship this role is supported by an accompanying assessment and skills development programme, during which the post holder will gain the skills and knowledge relevant for this role. Learning will be a mix of in the workplace, formal on and off the job training, and the opportunity to practise new skills in a real work environment. On successful completion of their Apprenticeship, they will have the right knowledge, skills, and behaviours they need for their chosen role.
Main duties of the job
As part of the Payroll Services department within the HR Directorate, the Employment Services Administrator will support the provision of a professional, efficient and integrated “one stop” service. This includes handling customer enquiries and where possible sign posting to the most appropriate source of information.
For designated area of responsibility post holders will carry out accurate and timely administration in partnership with colleagues for a range of general routine administrative tasks.

We provide the Mersey Regional Burns & Plastic Surgery Unit at Whiston Hospital and the Spinal Injuries Unit at Southport Hospital to more than 4 million people across the whole of Merseyside, West Lancashire, Cheshire, Isle of Man and North Wales.

Job responsibilities
KEY DUTIES
- Ensure that all telephone enquiries to the department from both internal and external parties are handled courteously, effectively and efficiently e.g. employees and managers within both Mersey West Lancashire Teaching Hospitals NHS Trust and all our client organisations.
- Refer complex queries to other members of staff in the Employment Services Team if appropriate.
- Process new starters, variations to contracts of employment and terminations on ESR.
- Address any routine queries from staff as appropriate.
- Notification to managers of professional registrations that are due to expire.
- Data validation on ESR.
- Completion of Ad Hoc reports.
CLINICAL & PROFESSIONAL RESPONSIBILITIES
- Contribute to the continuous improvement in the efficiency and effectiveness of the Recruitment Department.
- Contribute to the achievement of the HR Directorate and Trust Objectives.
ADMINISTRATIVE RESPONSIBILITIES
- Open, log, sort and distribute post daily as necessary.
- Undertake photocopying, filing and general housekeeping as requested by the Employment Services Manager.
- Carry out data cleansing of systems ensuring all required data fields are completed.
- Run routine reports for the HR Business Partners and managers on e.g. fixed contracts, retirement and secondments in accordance with agreed schedule.
- Check Alert Register as and when new alerts are issued across TRAC, NHS Jobs, and ESR and Honorary recruitment.
- Rebook employees that have not completed induction training.
TEACHING & TRAINING RESPONSIBILITIES
- Be prepared to broaden own skills and experience through working with others in the department.
RESEARCH & AUDIT
- Ensure own work is in accordance with Trust policies and procedures, checking with others where necessary.
- Enter accurate and timely data onto HR/Workforce information systems as directed ensuring data quality at all times ensure security of information in line with Records Management, Information Governance, Caldicott, Confidently and Data Protection policies.
Person Specification
Qualifications
- Minimum entry requirement. Educated to GCSE Grade C/4 in English and Maths and/or equivalent qualification. For those with an education, health and care plan or legacy statement, the Apprenticeship’s English and maths minimum requirement is Entry Level 3. A British Sign Language (BSL) qualification is equivalent to the English qualification for those whose primary language is BSL.
Knowledge & Experience
- Able to communicate with a range of people, in a way that is clear and understood.
- Can plan, organise, and effectively prioritise tasks to achieve the required objectives.
