Administrative Support – Primary and Community Care Academy
The Administrative Support post is a central role for the Primary and Community Care Academy Team. The Primary and Community Care Academy deliver multi-professional education and training for the Primary Care, Community Services, and Complex and Long-Term Care Division. While administration is at the core of this role, the range of projects and workstreams being driven by the Primary and Community Care Academy is varied. The postholder will be engaged in supporting many different types of work, with the opportunity to see the positive impact that their role has on the professional development of colleagues across primary and community care in delivering high quality patient care to the people of Gwent.
Main duties of the job
- Provide a comprehensive administration and coordination service which enables the Primary and Community Care Academy to run smoothly and efficiently. This requires proactive planning and organisation, close liaison with team members and other stakeholders and regular reprioritising of workload in order to meet both planned and emerging demando Utilise learning management and course booking software to manage learning and development programmes, attendees and reportingo
- Be part of a small cross functional team who manage responses to our single point of access email account, providing professional and swift responses to queries.
- Liaise with staff members, departments and external training providers to setting up training workshops and booking and confirming attendees so maintain and manage databases of information and liaise with various stakeholders involved.
- Enable excellent record-management through provision of registers, reconciling attendance and providing reports across various learning sessions
- Work alongside members of the Primary and Community Care Academy team to plan and organize learning programmes
- To undertake the co-ordination and processing of procurement requisitions using the Oracle system.
- Plan, organise and service meetings as required by the Primary and Community Care Academy

Person Specification
Qualifications and knowledge
- Good general level of education
- NVQ Level 3 or equivalent demonstrable level of knowledge
- ECDL / ICDL qualification or equivalent demonstrable level of knowledge
Experience
- Experience of working in administrative roles
- Experience of implementing IT solutions
