This varied and rewarding role will see you coordinate the day‑to‑day business of the Collaborative, providing high-quality governance, executive and programme support. Key Responsibilities
- Governance & Board Support
- Act as Board Secretary to the Collaborative Board.
- Coordinate Board meetings and governance meetings.
- Prepare agendas with the Medical Director and Deputy Medical Director.
- Produce accurate, professional minutes and maintain action logs.
- Monitor progress against agreed actions and escalating when appropriate.
- Maintain governance documentation including Terms of Reference, policies, governance registers, decision logs and declaration of interests register.
- Coordinate annual governance reviews and ensure documentation remains current and compliant.
- Executive Support
- Provide executive and administrative support to the Medical Director and Deputy Medical Director.
- Diary management, meeting coordination, preparation of correspondence, reports and presentations.
- Production of Board papers, drafting briefing papers, stakeholder communications and coordination of meetings with external organisations.
- Programme & Project Management Support
- Support delivery of Collaborative priorities including Integrated Neighbourhood Teams, Primary Care Transformation, Workforce initiatives, Population Health Management, Service redesign, Enhanced Services and Collaborative development programmes.
- Maintain project plans, programme documentation, action trackers, risk registers, decision logs, highlight reports and programme updates for the Board.
- Monitor project milestones and support delivery against agreed objectives.
- Communications & Stakeholder Engagement
- Develop and maintain effective communication between Member Practices, GP Partners, PCN Clinical Directors, Practice Managers, Bedford Place Team, BLMK Integrated Care Board, Community Providers, Local Authority partners and other NHS organisations.
- Prepare Board papers, produce presentations, maintain Microsoft Teams channels, coordinate stakeholder communications, produce newsletters and updates where required, support consultation and engagement activities.
- Meeting & Event Management
- Coordinate Collaborative Board meetings, Clinical Director meetings, Working Groups, Annual General Meeting, workshops and stakeholder engagement events.
- Venue booking, Microsoft Teams meetings, agenda preparation, circulation of papers, minute taking, action tracking and meeting follow‑up.
- Financial & Administrative Support
- Support the financial administration of the Collaborative by monitoring budgets, processing invoices, maintaining expenditure records, supporting procurement activity and liaising with Bedoc Finance.
- Maintain governance and document libraries and support preparation of financial reports where required.
- Service Development & Business Support
- Support the Medical Director and Collaborative Board with business case development, funding applications, project planning, commissioning responses, service mobilisation, evaluation reports, performance reports and strategic planning documentation.
- Assist in identifying opportunities for service improvement and future Collaborative development.
- Quality Improvement & Performance
- Monitor agreed objectives and KPIs, produce performance reports, maintain risk registers, support governance assurance, share learning across member practices and promote continuous quality improvement.
- Information Governance
- Maintain strict confidentiality; comply with GDPR and Information Governance requirements; handle sensitive information appropriately; follow all Bedoc Healthcare policies and NHS standards.
Qualifications & Skills
- Excellent organisational and planning skills.
- Outstanding written and verbal communication.
- Experience supporting senior leaders or committees, minute‑taking and administrative skills.
- Ability to manage multiple priorities independently and work with confidential information.
- Confidence working with Microsoft Office and Microsoft Teams.
- Professional judgement, problem‑solving skills, attention to detail and ability to work independently.
- Knowledge of GDPR, information governance and confidentiality requirements.
- Business Administration qualification; Project Management qualification (e.g. PRINCE2 Foundation) or equivalent.
- Desirable: Experience of Primary Care Networks, Integrated Care Systems, NHS governance, programme management, event management, SharePoint and commissioning.
Terms & Conditions
- Salary: £17.46 per hour.
- Hours: 15 hours per week.
- Annual leave: Six weeks plus Bank Holidays (pro rata).
- Location: Hybrid working across Bedford Borough.
- Contract: Fixed term, subject to ongoing Collaborative funding.

The Bedford Primary Care Collaborative has been established to provide a single strategic voice for general practice across Bedford Borough. Representing all member practices through the four Primary Care Networks, the Collaborative works alongside the Bedford Place Team, BLMK Integrated Care Board, community providers and wider partners to shape the future of primary care, improve population health and influence local healthcare strategy. Hosted by Bedoc Healthcare, the Collaborative supports joint working across practices, develops innovative models of care and ensures general practice has a strong and influential voice within the wider health and care system.
