The role will involve comprehensive and confidential administrative and clerical activities to meet the needs of the pharmacy department in accordance with departmental and Trust guidance, policies or procedures.

As a member of the pharmacy clinical trials team you will be involved in administrative tasks facilitating the opening of a clinical trial, clinical trial amendments, IXRS activities, and invoicing. The interview will be held on 24th Mar, but it may be moved earlier, subject to availability.

Responsibilities

  • Act as the first point of contact for the Pharmacy Clinical Trials Team, dealing with routine queries and referring to the appropriate member(s) of the trials team where appropriate.
  • Assisting in the day-to-day smooth communication between the Pharmacy Clinical Trials Team and R&D, RRDN, Sponsors, Chief Investigators, Principal Investigators, Research Teams, Finance, and other areas of the Pharmacy Department and the Pharmaceutical Industry.
  • Be involved in administrative tasks to facilitate the efficient and timely opening of clinical trials and processing of clinical trial amendments or updates to the Pharmacy Site Files (PSF).
  • Review, update and maintain pharmacy management systems and transpose into Access and/or Excel database and distribute reports as required.
  • Review the communication systems for staff, patients and/or external sources using appropriate communication tools.
  • Responsible for implementing and maintaining both manual and electronic filing systems and databases as required by the department ensuring all documents are accurately and appropriately archived.
  • Assist with training new team members in operational trust systems and department procedures.
  • Responsible for ordering stationery and other equipment whilst monitoring and maintaining stock levels.
  • Responsible for the dissemination of all relevant information to departments, external and internal users (e.g., dissemination of minutes, memos).
  • Responsible for the receipt and distribution of incoming/outgoing post and action accordingly.
  • Undertake filing and photocopying as necessary ensuring all documents are accurately and appropriately archived.
  • Prioritise daily tasks to achieve timescales set.
  • Maintain an efficient and comprehensive clerical service providing to the departments and other team members as requested.
  • Act as first point of contact for complaints within the department, dealing with them accordingly and in line with trust policies.
