About the Role
We are looking for an experienced, organised, and proactive Medical Secretary to join a busy and friendly practice team on a Locum basis. This is a key role supporting our GPs, Practice Manager, and healthcare professionals by providing high-quality administrative and secretarial support to ensure the smooth running of the practice.
Location: Redditch
Hours: 24 Hours per week (Locum Contract)
Salary: Competitive hourly rate dependent on experience and qualifications
Reports to: Practice Manager
Key Responsibilities
- Secretarial & Administration: Audio and copy typing of letters, reports, referrals, minutes, and memorandums
- Processing patient referrals accurately and in a timely manner
- Managing medical and insurance reports
- Handling Patient Access requests
- Monitoring and distributing Safety Alerts
- Collating and dispatching vaccine counts
- Maintaining and updating Team Clarity systems
- Filing, scanning, and maintaining patient records and Fit Notes
- Using AccuRx to communicate with patients
- Managing incoming and outgoing calls professionally
- Handling post and maintaining office supplies
- IT & Systems: Using medical software systems to manage patient and practice information
- Maintaining accurate patient records
- Reading and actioning emails daily
- Supporting data input and information governance compliance
- Communication & Teamwork: Working collaboratively with GPs, clinicians, and administrative staff
- Supporting patients with sensitive or complex needs
- Participating in meetings and contributing to service improvements
- Covering reception and other team duties when required
- Compliance & Confidentiality: Supporting CQC compliance
- Ensuring GDPR and Data Protection compliance
- Maintaining strict confidentiality in line with NHS and Caldicott principles
- Following practice policies and information governance procedures
What We’re Looking For
Essential:
- Previous secretarial or administrative experience (ideally in a healthcare setting)
- Excellent typing and word processing skills
- Strong organisational and time management skills
- Ability to handle confidential information with discretion
- Strong communication skills, both written and verbal
- Good IT skills and confidence using clinical systems
- Ability to work under pressure and prioritise workload effectively
Desirable:
- Experience working in General Practice or NHS settings
- Knowledge of medical terminology
- Experience with patient record systems and referral pathways
- Understanding of GDPR, CQC, and NHS policies
